Job Overview
The Pathways Internship Program allows students to join VA in career positions that emphasize long‑term training and development. As a Student Trainee (Administration and Office Management), the incumbent will be assigned to the Health Information Management (HIMS) Section at Harry S. Truman VA Medical Center.

Responsibilities

This position is being filled under the Pathways Internship Program.

The program provides paid work opportunities for students at various educational levels and serves as a source for potential permanent employees upon completion.

The internship offers students work experience directly related to their curriculum and career goals and provides eligibility for non‑competitive conversion to permanent employment.

Scanning documents into CPRS.

Performing duties related to the receipt, indexing, scanning and destruction of health and administrative information.

Interfacing with personal computer applications as well as numerous VistA applications.

Indexing scanned documents into a SQL database via CPRS and associating each with the correct patient CPRS record, TIU document and appropriate nomenclature.

Electronically signing that documents are on chart.

Reviewing and researching medical reports from non‑VA health care facilities to determine scanning requirements.

Ensuring all necessary health and administrative information is integrated into CPRS through the PC scanning software and hardware.

Indexing information using PC/VistA imaging application bridges.

Meeting quality‑control requirements for all documents scanned into CPRS.

Completing other duties assigned within HIMS, such as Release of Information and the Records Deficiency Program.

Working part‑time on a not‑to‑exceed 1‑year schedule.

Maintaining a flexible schedule based on the student’s class schedule – 16 hours per pay period.

Qualifications

United States citizenship. Non‑citizens may only be appointed when it is not possible to recruit qualified citizens in accordance with VA policy.

Proficiency in written and spoken English.

Accepted for enrollment or currently enrolled at a qualifying educational institution in pursuit of a degree, diploma or certificate – on a full‑ or half‑time basis.

Seeking a degree that is relevant to this position.

Ability to work at least eight hours per week.

Meeting grade qualifications prior to the start date (for GS‑2 level: completion of high school or GED).

Signing the Pathways Internship Program Participant Agreement.

Maintaining current student status with a cumulative GPA of at least 2.0 on a 4.0 scale.

Adhering to the established work schedule approved by the supervisor.

Providing proof of enrollment and academic transcripts at the end of each academic period and upon request.

Performing duties and responsibilities successfully as described.

Observing workplace rules such as dress code, office conduct and behavior.

Participating in all VA mandatory training programs, either online or in the classroom.

Notifying the supervisor of changes in the educational program, graduation date, major or accreditation.

Experience may include paid or unpaid work, including volunteer work with national service programs such as Peace Corps and AmeriCorps, and other professional, philanthropic, religious, community, student or social organizations.

All qualifying experience, including volunteer experience, receives credit.

A full year of work is considered to be 35-40 hours per week.

Part‑time experience is credited on the basis of hours actually spent.

Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and the number of hours per week spent.
