Location
This position is 100% in-office and reports to our facility on site in Syracuse, NY.

Job Summary
As an Administrative Coordinator you will provide essential administrative and operational support to ensure efficient office operations, exceptional customer service, and seamless project coordination. Responsibilities include managing incoming calls, maintaining accurate customer accounts and data entry, tracking jobs from creation through completion. The position works closely with Sales, Service, Installation, and Accounting teams while utilizing tools such as DocuSign, Excel, and SharePoint to manage contracts, documentation, reports, and workflows.

Salary Range
$26.00 per hour - $30.00 per hour, based on experience

Hours
Monday – Friday, 08:00am – 04:30pm

Responsibilities

Receive incoming customer inquiries via phone and email and prioritize them appropriately to ensure critical issues are addressed promptly

Set up, maintain, and update customer accounts to ensure accurate data entry and documentation

Assist with tracking projects through completion, including current status, timelines and pricing

Maintain organized digital and physical filing systems, records, spreadsheets, and sales reports

Prepare, send, and manage contracts and documentation using tools such as DocuSign, Excel, and SharePoint

Collaborate with the Accounting Department on invoicing, billing, permits, compliance (including OLIES), and related tasks

Assist with general office administration, coordinate internal events and employee celebrations

Qualifications

Bachelor’s Degree in Business, Marketing, Communications, or related field

Excellent communication skills both written and verbal

Full professional working proficiency in the English language

Proficiency in the Microsoft Office Suite

4+ years’ experience working in a professional support or administrative based role preferred

Proficiency in TriangulumAI and ABM preferred
