The Payroll Specialist serves as the strategic and operational partner to the Director of Payroll, providing advanced technical, compliance, and analytical support. This project-focused role is designed for a highly self‑directed professional who thrives with minimal supervision and concentrates on system optimization, regulatory compliance, and payroll accuracy. The position plays a critical role in supporting the implementation and maintenance of UKG Dimensions/WFM Pro, ensuring tax and labor law compliance across multiple jurisdictions, and strengthening internal controls through auditing and reporting. The role requires deep expertise in payroll systems configuration, multi‑state tax reconciliation, and labor law interpretation—particularly California regulations. Acting as a key resource for high‑level initiatives, the analyst manages complex system mapping for union contracts and statutory requirements, conducts audits using UKG Business Intelligence, oversees GL reporting and posting, and provides leadership continuity as the Director’s primary backup. Additionally, the position proactively monitors legislative updates, translating new payroll laws into system adjustments to maintain ongoing compliance and operational efficiency. This is a project‑heavy role for a self‑starter who works well with minimal supervision.
Key Responsibilities:
Manage 'behind the scenes' mapping for union contracts (CBAs) and state laws; set up and test accrual rules and timekeeping configurations.
Assist with the transition to UKG Dimensions/WFM Pro; help with system setup, data testing, and troubleshooting to ensure a smooth 'go-live'.
Perform regular multi‑state tax reconciliations; assist with year‑end W‑2 processing and tax audits.
Use UKG Business Intelligence to audit tip reporting, PTO accruals, and minimum wage compliance.
Manage GL reporting and posting; act as the Director’s primary backup for high‑level projects and department coverage.
Ensure compliance with California and multi‑state requirements, including weighted average overtime and meal premiums.
Research new payroll laws and update system settings to keep the company compliant without daily reminders.
Qualifications:
Bachelor’s degree preferred.
3–5 years of payroll experience, ideally in a large‑scale environment (5,000+ employees).
Must have UKG Pro experience.
Background in payroll tax reconciliation and mapping CBAs into payroll software.
Experience with GL reporting and journal entries is a plus.
Self‑starter capable of hitting project deadlines with very little oversight.
