Bookkeeper: Trusts & Estates Paralegal
Salary: $80,000 to $115,000 annually
Location: Newark, NJ
The Role:
We are seeking a detail-oriented Bookkeeper to provide critical financial and legal support to our Tax, Trusts & Estates attorneys. This role focuses on the meticulous management of fiduciary accounts, estate tax preparation, and complex financial reporting within a fast-paced legal environment.
Key Financial & Fiduciary Responsibilities
Fiduciary Account Management: Manage checkbooks for estate and trust accounts where attorneys serve as fiduciaries; process disbursements, beneficiary distributions, and timely bill payments.
Reconciliation & Systems: Perform regular bank reconciliations and maintain an organized internal accounting system to streamline estate and trust accountings.
Estate & Trust Accounting: Prepare detailed inventories of assets/liabilities and draft formal estate and trust accountings for court or beneficiary review.
Tax Support: Collect and organize documentation for Federal and State estate/inheritance tax returns (e.g., IRS Form 706, NY ET-706, NJ IT-R).
Asset Valuation: Analyze probate
on-probate assets (real estate, investments, business interests) and coordinate with appraisers to obtain date-of-death valuations.
Financial Projections: Develop comprehensive estate tax projections and estimate administration expenses (executor fees, court costs, etc.) in consultation with attorneys.
Administrative & Legal Support
Client Coordination: Act as a liaison between clients, beneficiaries, and financial professionals (accountants and advisors) to gather data and provide updates.
Court Filings: Assist with Surrogate’s Court procedures, including probate filings, service of process, and electronic document management.
Documentation: Maintain current client files and draft template-based legal correspondence.
Required Qualifications
Experience: 2+ years of specific Tax, Trust, and Estates bookkeeping experience within a law or accounting firm.
Education
Associate/Bachelor’s Degree or Paralegal Certificate.
Technical Skills
Proficiency in Excel and Document Management Systems (e.g., iManage).
Core Competencies
Exceptional attention to detail, ability to handle high-volume workloads independently, and a strong understanding of fiduciary accountability.
