Overview
Job Summary: Oversee general front office operations and act as main point of contact for the Office of the Chair. Work with executives and management on planning and logistics of department events. Coordinate internal/external meetings, and conference/video calls on behalf of leaders and the Department Chair. May manage the office budget and negotiate with vendors. Ensure the daily office environment operates smoothly, including office maintenance and supplies, and coordinate office equipment maintenance and facility repair requests. Build and maintain relationships with building management services, vendors, caterers, and internal departments and leaders. May perform other duties including accounting support, reception, facilities, maintenance, and supply management.
Responsibilities

Coordinate planning and logistics for department events with executives and management.
Schedule and coordinate internal and external meetings, and conference/video calls for department leaders.
May manage the office budget and negotiate contracts/price with vendors.
Maintain the daily office environment, including maintenance, supplies ordering, and related duties.
Coordinate office equipment maintenance and initiate facility repair requests with building management or outside vendors.
Represent the office and develop relationships with building management services, vendors, caterers, and internal departments and leaders.
Perform other duties including accounting support, reception, facilities, maintenance, and back-office functions as needed.
Qualifications
Requires a bachelor’s (or equivalency) + 6 years or a master’s (or equivalency) + 4 years of directly related work experience.
This is a Career-Level position in the General Professional track.
Equivalency statement: 1 year of higher education can be substituted for 1 year of directly related work experience (example: bachelor’s degree = 4 years of related experience).
