Job Summary
The Cardiovascular Medicine Division at the University of Utah seeks an Office Administrator to support our senior research staff, the Clinical Trials Unit, and the Cardiology department. The role is patient‑sensitive and requires adherence to vaccination policies.

Responsibilities

Oversee general office operations, including building maintenance, office supply ordering, and smooth day‑to‑day function.

Coordinate office equipment maintenance and initiate facility repair requests with building management or external vendors.

Collaborate with executives and staff on local culture and engagement initiatives, planning logistics and events.

Serve as the face of the office, maintaining relationships with building management, vendors, caterers, and internal departments.

Schedule internal and external meetings, including conference and video calls on behalf of leaders.

Manage office budget, conduct contract and price negotiations, and handle accounting support, reception, payroll, and facilities as needed.

Job Levels

Office Administrator II (Grade P11)
— Requires a bachelor’s degree (or equivalent) and 4 years of related experience, or a master’s degree and 2 years. Roles include the responsibilities above and moderate supervision.

Office Administrator III (Grade P15)
— Requires a bachelor’s degree and 6 years of related experience, or a master’s degree and 4 years. Roles include the responsibilities above with minimal supervision and broad independent judgment.

Office Administrator IV (Grade P16)
— Requires a bachelor’s degree and 8 years of related experience, or a master’s degree and 6 years. Roles include the responsibilities above with high complexity, unsupervised work, and extensive independent judgment.

Minimum Qualifications

Higher education may substitute experience at a ratio of 1 year of education for 1 year of related work.

Patient‑sensitive role requiring full vaccination or approved exemption.

Valid driver’s license and reliable transportation may be required.

Proficiency in Microsoft Office Suite and basic accounting software.
