Job Summary
The University of Utah Department of Orthopaedics is seeking a highly skilled Program Specialist to play a pivotal role in advancing the department’s philanthropic, global health, scholarship program, and alumni engagement initiatives. The Program Specialist provides comprehensive administrative, programmatic, and donor‑stewardship support across four major areas: scholarship program management, global health program coordination, advancement administrative support, and alumni engagement. The role requires exceptional organizational skills, strong communication, discretion, and the ability to represent the department professionally to donors, alumni, students, faculty, and external partners.
Responsibilities
Advancement & Executive Administrative Support – provide administrative support to the Executive Director, coordinate stewardship materials, support donor meetings, communications, site visits, and stewardship activities; create and maintain donor database.
Global Health Program Coordination – coordinate logistics for global health program activities, including domestic and international travel arrangements; serve as primary administrative contact, support financial processes; manage program meetings, documentation, and reporting; assist with donor‑related activities.
Scholarship Program Management – manage annual scholarship cycle (~70 students, ~$300,000 total); oversee applications, committee, interviews, notifications, documentation, selection, and fund disbursement; manage stewardship plan.
Alumni Engagement (Residents & Fellows) – collaborate with leadership and faculty to design engagement opportunities; plan and coordinate alumni events, updates, newsletters, and strategies; maintain accurate alumni records and metrics.
Minimum Qualifications
Requires a bachelor’s (or equivalency) + 4 years or master’s (or equivalency) + 2 years of directly related work experience (or equivalent).
Familiarity with budgeting, finance, and public relations.
Professionalism in handling sensitive and confidential matters.
Ability to work independently, make informed decisions, and manage competing deadlines.
Strong written and verbal communication skills.
Preferred Qualifications (Preferences)
Bilingual in English and Spanish.
Experience in academic medicine, donor relations, or alumni engagement.
