Executive Administrative Assistant / Analyst FT Chatsworth
The Executive Administrative Assistant / Analyst supports the Information Technology department in daily administrative tasks such as calendaring, vendor management, invoicing, and other duties.
Additionally, this role will also provide support in:
Reporting, such as financial tracking, budget variance analysis and accrual reporting.
Maintaining system portals.
Preparing complex reports.
Supporting project execution.
Ensuring accurate documentation across the Department.
The ideal candidate is detail oriented, analytically minded, and comfortable working with financial data, dashboards and cross-functional teams.
Requirements
What We Are Looking For:
3+ years of similar or related experience, including administrative support, financial reporting, or data analysis.
Experience in accounting concepts, variance analysis, or business intelligence tools is strongly preferred.
Experience supporting multiple C-Suite executives at the same time is also preferred.
Bachelor's Degree is preferred; some college or an equivalent combination of experience and training is required.
Strong Excel skills (pivot tables, VLOOKUP/XLOOKUP, formulas, charts).
Familiarity with accounting systems, financial reporting tools.
Ability to extract and manipulate data from multiple systems.
Strong understanding of basic accounting concepts (accruals, variances, forecasting).
Advanced Outlook calendar management and Excel skills are critical. Expert proficiency with Word, PowerPoint, and Visio is also required.
Coursework in accounting, finance, business analytics, or information systems is a plus.
Strong organization, time management, project management, attention to detail, and problem-solving skills
Strong interpersonal skills, as well as a strong customer service perspective (internal, as well as external), and can handle issues with respect, dignity, sensitivity, and urgency.
Friendly and professional demeanor, with a "can do" attitude.
Ability to act quickly from one task to another, seamlessly and professionally.
Proven time management skills with the ability to prioritize and handle multiple tasks and work in a fast-paced environment with limited supervision.
Excellent verbal and written communication skills including the ability to communicate with all levels of the organization.
Ability to proofread and data validation.
Ability to identify business issues and coordinate an appropriate response with the key stakeholders.
Proven experience working in a fast-paced environment while providing superior service level
Ability to tame organized chaos while remaining calm and composed
Possess a high degree of initiative to take independent action and be able to always exercise proper judgment.
Uses discretion, judgment, and knowledge of the organization to facilitate the executive's activities.

Pay Grade Info: The base pay range for this position is: 70k - 80k.
