We are seeking a Project Assistant to support project administration for multiple project managers and operations in the Midwest Region (primarily Ohio, Michigan and Indiana). This role requires regular interaction with the Project Controller and Finance Manager regarding contracts and project‑specific financials and metrics.
Role accountabilities
Work closely with project managers to ensure client invoices are prepared monthly and sent each month for all of the projects you are responsible for within the Midwest Region.
Provide and analyze financial project metric reports for project managers (Project Revenue, profitability, accounts receivable, etc.).
Coordinate with subcontractors on billing requirements.
Set up new projects and update project forecasts in the project‑management tools.
Prepare documents associated with client billing related to client contracts.
Verify invoices comply with contract terms.
Prepare sophisticated reports and spreadsheets, conducting a high level of quality control of documents following the guidelines associated with billing large municipal clients.
Participate on monthly project reviews with Finance Managers and Project Managers.
The ideal candidate will possess strong interpersonal and communication skills, coupled with a high level of proficiency in Microsoft Word, PowerPoint, Outlook, and Excel. They should be highly motivated and demonstrate a drive to pursue continual innovative improvements in processes. Exceptional time management and organizational abilities are essential, with the capability to work effectively under time constraints, prioritize tasks, and manage multiple projects and responsibilities simultaneously. Additionally, the candidate must exhibit excellent analytical skills with a keen attention to detail.
Required Qualifications
Associate or Bachelor degree in Accounting, Finance, Business Administration, or related field or equivalent experience.
Preferred Qualifications
1-3+ years of related experience.
Finance background or coursework.
Previous experience with client billing procedures.
Previous administrative experience in a fast‑paced setting.

The salary range for this position is $50,000 - $70,000. Actual salaries will vary and are based on several factors, such as experience, education, budget, internal equity, project and location.
