Role Overview
The Executive Assistant provides high‑level, strategic administrative support to the Chief Growth and Policy Officer. This role requires exceptional judgment, discretion, and organizational skill in a fast‑paced, externally focused environment. The Executive Assistant serves as a trusted partner, enabling effective management of priorities spanning growth strategy, policy, regulatory engagement, external stakeholders, and internal leadership teams.
Key Responsibilities
Executive & Strategic Support
Provide proactive, executive‑level administrative support, ensuring seamless day‑to‑day operations and effective prioritization of competing demands.
Manage and maintain a complex, dynamic calendar that includes internal leadership meetings, external stakeholder engagements, regulatory meetings, and travel.
Anticipate scheduling conflicts and proactively resolve issues, exercising sound judgment and discretion.
Stakeholder & External Engagement Coordination
Serve as a key liaison with internal teams, external partners, policymakers, regulators, and industry organizations.
Coordinate logistics for external meetings, briefings, conferences, and speaking engagements.
Support preparation for Board of Directors interactions as needed, including meeting coordination, materials, and logistics.
Meetings, Materials & Communications
Prepare, edit, and format professional‑level presentations, briefing materials, and correspondence for executive, board, regulatory, or external use.
Track action items and follow up on deliverables from meetings and strategic discussions.
Assist with report preparation, data compilation, and coordination of responses to internal and external inquiries.
Travel, Expenses & Administrative Operations
Manage travel arrangements and prepare expense reports in compliance with company policy.
Coordinate document routing and signature collection.
Support budgeting, invoicing, and vendor coordination related to executive activities, as applicable.
Confidentiality & Discretion
Handle highly sensitive, confidential, and time‑critical information with the utmost professionalism and discretion.
Maintain awareness of corporate policies and compliance requirements relevant to growth, policy, and external affairs work.
Team & Cross‑Functional Support
Partner closely with Growth, Policy, Regulatory, Government Affairs, Strategy, and Communications teams to ensure alignment and clear information flow.
Lead and execute team events, offsites, and select strategic initiatives as requested.
Provide limited administrative support to broader leadership teams as capacity allows.
Other Duties
Organize, prioritize, and coordinate multiple projects simultaneously while meeting tight deadlines.
Perform other duties as assigned in support of organizational objectives.
Qualifications
Education & Experience
High school diploma or GED required; college degree or relevant certification preferred.
Minimum of 8 years of administrative experience in a corporate environment.
Minimum of 2 years of experience supporting executive‑level leadership (VP or C‑suite).
Experience supporting externally facing leaders (e.g., growth, policy, regulatory, strategy, or government affairs) preferred.
Experience working with Boards of Directors and external stakeholders is a plus.
Skills & Competencies
Exceptional organizational, time management, and prioritization skills.
Strong written, verbal, and interpersonal communication skills.
Advanced proficiency in Microsoft Office Suite (Outlook, PowerPoint, Word, Excel; Visio a plus).
Experience with SAP, Concur, and related enterprise systems preferred.
Ability to manage competing priorities from multiple stakeholders with professionalism and efficiency.
Demonstrated judgment, maturity, and discretion.
Other Requirements
Willingness to work occasional overtime, evenings, or weekends as business needs require.
Ability to meet deadlines with accuracy, speed, and professionalism.
Working Conditions
Hybrid work schedule (in‑office and remote flexibility based on business needs).
Frequent use of computer systems and digital collaboration tools.
Minimal domestic travel; occasional support for external events may be required.
Evening or weekend work may be required during peak periods or critical engagements.
