
Office Operations Manager

This position is a dynamic hands‑on role responsible for all aspects of customer support, sales, and efficient management of all front office activities and processes including rental fleet management.
Rental fleet management includes: inventory tracking, lease development, quoting, delivery coordination, inspecting units, documenting with photos. Provide customer support, sales, and efficient management of all rental activities and processes.
The role is focused on customer support while managing the logistics associated with container and office trailer sales and rentals, coordinating with the production area to receive or prepare for shipment of products on time and completing bookkeeping tasks.
Experience
Minimum of five (5) years’ office / administrative work including MS Office Products, filing, typing, document creation, etc. Notwithstanding the foregoing, any combination of education and experience that demonstrates the knowledge and ability to perform the work is accepted.
Minimum three (3) years’ customer service/support both on the phone and in person preferably w/focus on education and relationship building, coordinating, planning, etc.
Core Responsibilities
Provide front line customer support (in person, phone and email)
Maintain accurate inventory of existing units and availability
Create and distribute lease agreements for rental fleet units
Create and distribute quotes to customers for standard products
Take initial call for custom builds and uncover customer needs
Coordinate shipping with partner trucking company for all projects (very few exceptions)
Receive and inspect fleet units and enter back into inventory or schedule for repairs
Receive and inspect conex shipping containers, test doors, enter into inventory
Follow up on “open” quotes weekly, uncovering additional needs
Support Production/Project Managers as needed (electrical panel schedule, photos, etc)
Receiving customer payments, entering bills, recording credit card payments, recurring monthly invoices, etc.
Maintain office filing and storage systems
Perform work related errands as requested such as going to the post office and bank
Keep office area clean and tidy
Other duties as assigned
Reliability
Strong written and verbal communication
Work independently to consistently achieve schedules
Computer savvy with knowledge of MS Word, Excel; networking knowledge a plus
Work outside for brief periods of time
Collaborate with and support all office staff
Work Context
Regularly works in office, but at times must enter manufacturing area which is loud and dirty
Regularly performs physical inventory count of rental and shipping containers in outdoor storage
Salary Pay (salary commensurate with experience)
Quarterly bonus based on key performance indicators
