Position: Property Management Administrative Assistant
Experience Required: Handling phone calls, emails and resolving tenant issues. Property Management environment experience a plus.
Compensation: $20 an hour
Hours: 30 to 40 hours per week. Flexible schedule required.
The Property Management Administrative Assistant will be responsible, but not limited to, supporting the office staff and assisting with the day-to-day operation of the management office. The role involves a blend of administrative tasks, sales, customer service and communication. The ideal candidate should have experience with property management software and should be comfortable handling phone calls, emails and resident inquiries.
Key Responsibilities:
Respond to incoming calls and emails from prospective and current residents
Assist with weekly comps and updating the weekly spreadsheet
Schedule and conduct property tours with prospective tenants as needed
Assist with lease applications and the leasing process as needed
Maintain accurate resident records and update the leasing database
Resolve resident issues and escalate as necessary to management
Ensure all leasing paperwork is processed and filed properly
Put together move-ins and move-outs files
Switch keys on vacant units to the master key and take move-out photos of the units
Upload photos to AppFolio
Pull keys by weekly for pest control (sign out and sign in keys)
Prepare/distribute maintenance notices
Send eviction files to the attorney
Assist with marketing and the advertising of available units
Handle administrative duties relating to leasing and property management operations
Qualifications:
1 to 2 years of experience in Leasing and/or an administrative role
Strong communication and customer service skills
Exceptional communication skills with attention to detail
Available to multitask and manage multiple priorities
Comfortable with technology and office software
Ability to work well both independently and as part of a team
