PermCap employs 15 full-time professionals with offices in New York City and Charleston, South Carolina.

Role Description
This is a full-time, on-site role located at our New York, NY office for an Executive Assistant / Office Manager. The role involves providing executive administrative support, managing calendars, organizing meetings, preparing expense reports, and facilitating day-to-day office operations. The position also includes supporting executives with effective communication and ensuring efficient administrative assistance to promote an organized and professional work environment. The position requires exceptional organization, discretion, and responsiveness. The ideal candidate is proactive, detail-oriented, and able to manage multiple priorities in a fast-paced professional environment. Because this role supports senior leadership, the candidate should also be comfortable handling time-sensitive matters outside of traditional business hours.
Key Responsibilities
Executive Administrative Support
Provide high-level executive support to firm partners, including managing complex calendars, scheduling, and communications across multiple priorities and time zones
Coordinate domestic and international travel, including flights, accommodations, itineraries, and last-minute changes
Handle sensitive information and executive communications with a high degree of speed, discretion and professionalism
Office Management & Operations
Serve as primary point of contact for day-to-day NYC office operations
Oversee vendor relationships, including sourcing, onboarding, relationship management, issue resolution, and billing
Ensure a well-run, welcoming, and efficient office environment for team members and visitors
Coordinate office logistics, supplies, and facilities needs
Client & Stakeholder Support
Assist with logistics and coordination related to meetings, events, and engagements involving institutional, nonprofit, and faith-based organizations
Engage respectfully and professionally with a diverse set of clients and partners, including those with faith-based missions
Qualifications
5+ years of experience supporting senior executives in a fast-paced professional environment (finance, investment, professional services, or similar preferred)
Demonstrated ability to manage complex calendars, scheduling, and travel logistics across multiple stakeholders
Experience overseeing office operations and vendor management
Strong organizational skills with the ability to manage competing priorities and adapt quickly
Excellent written and verbal communication skills
High degree of discretion and sound judgment
Comfort working with organizations that have mission-driven or values-based objectives
Notary Public certification preferred, or willingness to obtain certification upon hire
Salary based on experience.
