Job Title: Executive Administrative Assistant
Position Purpose
Executive Administrative Assistant is responsible for providing administrative and strategic support to the VP, General Manager, and Senior Leadership Team. The role includes scheduling, office equipment maintenance, and management of plan and program documents. The assistant ensures appropriate communication between internal and remote or hybrid employees and field operations regarding administrative matters, and provides general administrative tasks to other departments. The ideal candidate is experienced in managing a wide range of high‑level administrative functions for an operations team and can work independently with little or no supervision.
Primary Duties and Responsibilities
Motivated, trustworthy candidate.
Provide administrative support to executives and operations management, including pre‑ and post‑meeting documentation, managing executive and senior leadership schedules, creating and analyzing reports, filing (electronic and physical), answering phones, planning and coordinating conference calls, luncheons, meetings, travel, and executive expense reports.
Train clerical staff and arrange employee training by scheduling sessions or organizing training materials.
Review operating practices and procedures to determine improvements in workflow, reporting procedures, or expenditures.
Work effectively in a fast‑paced environment, juggling multiple tasks and demands.
Assess urgency and importance of situations and determine appropriate level of management involvement.
Provide assistance to the team on an as‑needed basis.
Compose correspondence on both routine and complex matters.
Work Environment
Very minimal travel required.
Qualifications
Education and Experience
High School Diploma or GED required.
7+ years of experience as an administrative assistant.
Knowledge, Skills, and Abilities
Very high proficiency with the Google for Business platform.
Effective communication with supervisors, peers, and stakeholders via phone, written form, email, or in person.
Ability to establish and maintain constructive and cooperative working relationships with others over time.
Ability to obtain information through observation, reception, or other relevant sources.
Excellent written, verbal, and interpersonal skills and the capacity to professionally interact with diverse internal and external groups.
Strong analytical and problem‑solving skills with attention to detail and ability to review materials for accuracy.
Excellent time management and organizational skills.
Certifications and Training
Notary or ability to become one.
Professional Administrative Certification of Excellence (PACE) or ability to obtain.
Certified Project Manager (CPM) or ability to become one.
