
Supervisor Project Coordinator (Fabrication Shop)

Overview
The Fabrication Shop Lead Project Coordinator is a new role designed to lead the administrative functions across our various sheet metal, piping, and mechanical construction fabrication shops. This role is critical to the smooth operation of the shop by overseeing a variety of administrative functions and tasks, such as material management, record maintenance, reporting, coordinating communications, and assisting with scheduling. As well, as we scale our operations, this role will focus on process improvement and standardization among the various shops. This position involves a combination of oversight of administrative support and interaction with shop personnel, suppliers, and other stakeholders. This role supports the operation of the shops and is expected to work on a schedule that aligns closely with core hours of the shop.

Responsibilities
Oversees a variety of clerical and administrative support to multiple departments and/or senior-level managers
Utilizing technology, develop routine and non-routine reports, including graphs and charts and presentation materials. Maintains database information
Oversees the preparation and submission of expense reports.
Evaluate current processes, recommend solutions, and support the implementation of such solutions.
Oversee implementation of new processes and applications to support growth and scalability
Works under limited general supervision
Uses initiative and advanced knowledge of skills, methods and practices, including innovation, analysis, and reasoning to choose appropriate solutions to complete.

Safety Meeting Processing Documentation
Safety Training Documentations
Consumables / PPE Orders
Track and Maintain Welder Continuity for Entire Division
Maintain Shop Office Supplies (printer paper, labels, pens/markers etc.)
Work with Janitorial Services and Bathroom Supplies
Some Material Orders for consistent product lines
Productivity Collection and Entry into Coins
Print / Stamp Work Packages
Some BOM generation for Non-Stratus Projects
Automated Cutting Machine Razorgage Cut File Generation for NON-Stratus Projects

Qualifications
Excellent verbal and written communication skills
Excellent customer service skills
Experience working with a variety of software applications to support business processes.
Strong knowledge of Microsoft Office—Excel, Word and PowerPoint other technologies
Advance Excel Skills involving VBA and Macros (Bonus)
Strong organizational skills
Strong multi-tasking and prioritization skills
Strong negotiation skills
Ability to maintain discretion and confidentiality
Previous experience managing a non-exempt workforce
Ability to interface with all levels within the organization
Ability to effectively manage a wide variety of relationships from covered CBA members, to support staff and project leadership.
Experience with Software Development Processes and Process Mapping (Bonus)
Experience with Microsoft Power BI (Coding and Visualization Development (Bonus)
Experience in Warehouse Management or Manufacturing (Bonus)
Flexibility with Traveling to Sacramento and San Francisco Work Locations
Home Base is in Union City
Limited Travel to Sacramento (1-2x week while we grow the dept for next 3-6 months, then reduce to 1x week max as needed based on business needs)
Occasional Travel to SF (1x week as the shop grows, then 1-2x month)
