Job Summary
The Business Office Manager oversees and administers the community accounting systems and human resource functions, confidentially and in accordance with policies, procedures, and current federal, state and local standards, guidelines and regulations, while demonstrating the Principles and Core Values that MBK embraces.
Essential Job Duties
Perform, administer, and oversee the community accounting functions (40%): accounts receivable/collections, accounts payable, and management reports.
Accounts receivable duties: prepare and send resident billing statements, track daily census, make bank deposits, process refunds or credits, and handle daily changes per updated addendums.
Accounts payable duties: ensure accounts are up to date, vendors paid timely, and other related activities.
Facilitate collections and coordinate resident move‑in, move‑out, and transfer documentation.
Work with Corporate to ensure all aspects of resident billing, payment, rent, rent increases, and other related charges are submitted timely and per standard.
Perform Human Resource and Payroll duties (30%): post job openings, coordinate interviews, background and reference checks, employee physicals, maintain employee files, assist with FMLA or other leave occurrences, and coordinate all payroll functions.
Manage employee benefit programs, including communication to employees about plan details and eligibility requirements, ensuring timely enrollments and terminations.
Maintain all aspects of employee files, base wages, tax withholding, wage rates, and annual or merit increases.
Maintain and update all resident, personal and insurance files.
Manage, plan, develop, organize, schedule, evaluate and direct the front desk department (20%): hire, train, supervise and manage front desk team members.
Coordinate and work closely with Executive Director, Department Heads and Corporate Office on community issues (10%), including legal issues, worker compensation claims and maintaining the OSHA binder.
Non‑Essential Job Duties
Perform other duties or special projects as assigned/requested by the Executive Director.
Order and maintain office supply inventory.
Display tact and friendliness when dealing with residents, team members, and visitors.
Promote a spirit of teamwork and cooperation in accordance with MBK principles and core values.
Attend morning staff meeting.
Supervisory/Management Responsibilities
Concierge: oversee 1 to 6 employees (average 4).
Minimum Job Requirements
High school diploma or GED.
Background clearances as required by government regulations.
Valid health screening and TB test within 6 months (or 7 days of employment).
Solid computer skills and familiarity with Microsoft Office Suite programs (Word, Excel, Outlook, Email) and other office equipment (scanners, copiers, fax machines).
Capable of performing mathematical calculations for financial responsibilities, budget, and personnel actions.
Extremely discreet and able to maintain confidential data.
Excellent oral and written communication skills; ability to speak, write and read English.
Ability to explain and communicate information to a wide audience and at different levels of understanding.
Ability to make independent decisions when circumstances warrant and remain calm during stressful or emergency situations.
Professional demeanor when interacting with personnel, residents, family members, and guests.
Preferred Job Requirements
Team member’s degree or several years of college coursework.
Bachelor’s degree highly desirable.
Fundamental accounting experience/knowledge.
Fundamental human resources experience/knowledge.
Prior supervisory or lead experience.
Physical Demands
Mobile and able to perform required duties.
Able to sit for long periods, concentrate, stand, bend as required.
Move intermittently throughout the work day and community.
Assist in moving residents in emergency situations.
Lift up to 25 lbs on occasion, up to 10 lbs frequently.
Pay
$39.50–$40.50 per hour.
