
Patient Access & Pre-Access Supervisor

Job Summary
The Patient Access & Pre-Access Supervisor organizes and coordinates the activities of assigned staff to ensure safe, effective, and appropriate work in a fiscally responsible manner. The role handles and solves problems related to the area of assignment, maintains knowledge of functions within the responsibility area, and collaborates with the patient access manager to develop and coach staff, creating optimal performance. The supervisor conducts and oversees orientation and training of all Patient Access staff, performs Revenue Cycle tasks necessary to ensure compliance and excellent customer service, and assists the Patient Access Manager with day‑to‑day operations.
Essential Job Functions
Coordinates all registration duties with direct and indirect reporting employees, ensuring daily completion of registration and pre‑registration duties; provides staff training; monitors daily productivity; and communicates with staff.
Provides and reviews reporting to track department performance in key metrics (e.g., point of service, wait times, overtime, productivity); prepares reports on a daily, weekly, monthly, quarterly, or annual basis as requested.
Assigns and coordinates staff schedules, including rotations, time off, and call‑offs; ensures schedules comply with organizational policies; minimizes overtime while maximizing productivity.
Responsible for upfront collection process tracking and monitoring; assigns goals and provides coaching and corrective action as appropriate.
Participates in on‑call rotation (days, nights, weekends) and may provide administrative and educational guidance to staff via telephone; may fill in for call‑offs, staffing issues, or unexpected volume.
Assists with developing department processes and procedures; conducts staff training, education, and development; conducts audits to ensure acceptable performance and provides continual coaching and education.
Acts as a resource for staff and ancillary departments; promotes excellent customer service for internal and external customers; holds self and others accountable for service‑excellence behaviors.
Manages assigned projects related to implementing, tracking, and process changes; reports to Patient Access Leadership routinely for monitoring.
Participates in daily facility activities as assigned; gathers statistical information; works in the department as needed in designated areas.
Assists with staff evaluations and maintains time/attendance system; attends facility meetings as required to ensure process alignment and effective communication.
Demonstrates advanced usage of AI and manages teams using AI to improve processes and technology, including AI exploration, experimentation, and application.
Required Licenses / Certifications
Certified Healthcare Access Management (CHAM)
Certified Revenue Cycle Representative (CRCR)
Experience
1 to 3 Years
Preferred Knowledge, Skills & Abilities
Associate degree (2 years) or Bachelor’s degree (4 years)
2‑3 years of supervisory experience in healthcare or a business field preferred
Ability to lead/direct others; high analytical ability; working knowledge of Microsoft Office
Knowledge of registration, insurance, scheduling, verification, and hospital billing

Starting salary: $47,400 annually; final compensation based on experience.
