The Front Desk Office Coordinator plays a critical role in ensuring Prado Group’s office operates seamlessly and professionally while delivering a high-quality experience for employees, executives, and visitors. Serving as both the face of the office and a key operational partner, this role combines front desk leadership, office management, and administrative coordination.
This position requires strong ownership, sound judgment, and the ability to anticipate needs before they arise. The Coordinator proactively manages office operations, supports executive logistics in partnership with the Chief of Staff, and drives organization and efficiency across daily workflows and special projects. This position has a starting range of $35.00 per hour.

Front Desk Leadership & Workplace Experience
Serve as the primary point of contact for visitors, clients, and staff, setting a professional and welcoming tone for the office
Manage front desk operations and communications with responsiveness and professionalism
Ensure meeting spaces are prepared and office standards are consistently maintained
Maintain an organized, polished, and functional workplace environment
Office Operations & Administration
Own daily office operations, identifying and addressing needs proactively
Maintain office systems, records, and organizational procedures to support operational efficiency, this may include access to confidential data.
Partner with office leadership to continuously improve workplace processes and organization
Manage administrative workflows including expense support and operational tracking
Provide cross‑functional administrative support and execute special projects with minimal supervision
Executive & Team Support
Coordinate scheduling and logistics in partnership with the Chief of Staff
Anticipate executive and team needs to support productive workdays
Coordinate meetings, meals, and internal office events with strong attention to detail
Coordinate office events including holiday events and other team gatherings
Manage inventory, purchasing, and vendor coordination for office supplies, equipment, and services
Ensure shared spaces, kitchen areas, and office resources remain fully functional and well maintained, while troubleshooting problems and coordinating with building management
Exercise judgment in vendor selection and purchasing within company guidelines
What You’ll Bring
Education & Experience
2+ years of administrative, office coordination, or workplace operations experience in a professional environment
Associate or bachelor’s degree preferred
Active Notary license a plus
Proven ability to manage confidential information with discretion
Technical Skills & Abilities
Proficiency in Microsoft Office, Adobe PDF, and Google Workspace
Strong written and verbal communication skills
Excellent organizational and time‑management abilities
Ability to manage competing priorities with sound judgment
Detail‑oriented with strong follow‑through and accountability
Comfortable leveraging mobile technology and productivity tools
Physical Demands & Work Environment
Indoor office environment with moderate noise level
Frequent sitting, walking, and computer use
Regular verbal communication and administrative tasks
Minimal local travel may be required during business hours
