Job Duties
The Supervising Deputy Court Clerk - Civil Division is assigned operational responsibilities in a high-volume office with frequent deadlines. The individual will direct or personally handle the operational activities required for efficient caseload processing in the following areas: records management, cash processing, and customer service to the public. Under general supervision of the Clerk of Court, the supervising Deputy Court Clerk supervises, assists, coordinates, reviews and evaluates an assigned area while performing a variety of court support work; develops work methods and procedures; recommends procedural changes; is responsible for training from new hires to experienced deputy clerks in new areas of assignment; and to do related work as required.
Essential Duties & Responsibilities
Essential duties and functions may include the following:
Supervises the day-to-day operations and supports staff within the assigned division.
Assists with recruitment and selection of staff in accordance with established policies; provides hiring recommendations as appropriate.
Conduct or assist with performance evaluations, disciplinary actions, counseling, and documentation.
Promote teamwork, professionalism, and accountability while maintaining a work environment free from discrimination, harassment, or bias.
Delegate work assignments, scheduling, training, coaching and performance monitoring.
Assist in the training and continued education of deputy clerks and communicate progress or concerns to the Clerk of Court.
Advise staff regarding questions of procedures, and administrative policies.
Contribute to the efficiency and effectiveness of the clerk's office by supporting the development and improvement of work methods, procedures and internal controls.
Perform quality control reviews and audits to verify accuracy of court records and documents.
Ensure proper execution, filing, and maintenance of court documents in accordance with statues and policies.
Demonstrate and ensure accurate, timely processing of cases and entry of information into the case management system.
Model and enforce high standards of customer service in interactions with the public, judges, attorneys and co-workers.
Comply with the Rules of Conduct for Judicial System Employees and promote ethical behavior amongst staff.
Observe established policies regarding attendance, leave, dress code and workplace conduct.
Complete any required training and maintain CLE credits.
Other related duties may be assigned as needed.
Minimum Qualifications
The most competitive candidates will possess court experience, legal and judicial knowledge, and will demonstrate competence in areas of responsibility as well as records management systems and personal computers. Proficiency in Microsoft Word is required. A high school diploma or equivalent is required; college or business school courses are preferred.
Candidates must meet the following minimum qualifications to be considered.
Education & Experience High School Diploma or an equivalent combination of education. Related court, legal or administrative experience, including experience in a direct supervisory role.
Knowledge & Skills Working knowledge of court operations, case processing and legal records management. Knowledge of applicable statutes, court rules, and administrative policies. Ability to supervise staff, assign work, provide feedback, and document performance issues. Strong organizational skills and ability to prioritize workloads and meet deadlines. Ability to exercise sound judgment, work independently, and maintain confidentiality. Proficiency with court case management systems, Microsoft Office, standard office software and office equipment. Strong written and verbal communication skills.
Preferred Qualifications
These qualifications are not required but may distinguish candidates. Experience
Experience serving as a Deputy Clerk or in a supervisory role within a Virginia court or comparable judicial system. Experience assisting with hiring, training, or performance evaluations in a legal or public sector setting. Demonstrated experience improving workflows, training methods, or operational efficiency. Experience mentoring or coaching staff for performance improvement or career development.
Physical Demands and Work Environment
Work is primarily performed in an office and courtroom setting. Duties require the ability to sit, stand, walk, bend, reach, and operate standard office equipment. The employee may be required to lift or carry items weighing up to approximately 10 pounds. Reasonable accommodations may be made.
