Role Description
This is a full-time, on-site role based at The Maercks Institute in Miami, FL, for an Aesthetic Plastic Surgery Office Manager. Responsibilities include overseeing daily office operations, managing administrative tasks, ensuring the smooth function of office equipment, and providing exemplary customer service to all patients. The Office Manager will coordinate schedules, oversee patient communications, maintain office efficiency, and ensure compliance with clinic standards. This role requires a proactive approach to problem-solving and exceptional organizational skills.
Qualifications
Strong Communication skills to effectively coordinate with the team, address client inquiries, and resolve issues
Experience in Administrative Assistance and Office Administration to manage schedules, records, and the overall office environment
Knowledge of operating and maintaining Office Equipment used for daily business tasks
Excellent Customer Service skills to create a welcoming and professional patient experience
Ability to multitask and prioritize effectively in a fast-paced setting
Previous experience in a medical or aesthetic practice is strongly preferred
Proficiency in office management software and tools

The Opportunity
We’re hiring an Office Manager / Practice Manager to take full ownership of day-to-day operations and team performance—bridging clinical excellence with business execution.
You will run the machine: people, schedules, workflows, patient flow, training, compliance, accountability, KPIs, and the “no drops balls” culture that premium medicine requires. Practice managers in aesthetic/plastic surgery environments are commonly accountable for end-to-end operations, workflow continuity, and patient experience, with an emphasis on growth and economic performance.
What Success Looks Like (First 90 Days)
Patient flow and consult flow become
predictable, clean, and measurable
Lead response time and conversion discipline become
non-negotiable
Scheduling errors, chart gaps, missing photos, and day-of-surgery surprises move toward
zero
The team begins operating with
ownership
instead of escalation culture
Clear KPI scorecards exist for each role, with coaching cadence established
Core Responsibilities
Operations & Execution
Own daily clinic and surgery-day readiness: rooms, records, photos, consents, instruments, staffing, flow
Ensure scheduling accuracy across systems, including anesthesia and surgical coordination
Implement SOPs and enforce “single source of truth” workflows to eliminate errors and duplication
People Leadership
Lead hiring, onboarding, training, performance management, and accountability rhythms
Build a “team-first” culture: proactive support, no blame, no gossip, no disengagement
Coach individuals into high performance—and decisively address misalignment
Patient Experience & Revenue Discipline
Ensure every qualified lead is handled with urgency, professionalism, and disciplined follow-up
Track consult pipeline, conversion, and patient journey integrity
Prevent missed opportunities through structure, reporting, and ownership
Compliance & Risk
Maintain HIPAA/OSHA-aligned operations, training, and documentation standards; many practices place this responsibility with office/practice leadership.
Reporting & KPIs
Maintain dashboards for leads, consults, bookings, cancellations, conversion rates, reviews, and operational error rates
Lead weekly team huddles and monthly performance reviews with action plans
Qualifications
5+ years managing a medical practice (aesthetic surgery/derm/concierge medicine strongly preferred)
Demonstrated success operating in a
high-revenue, high-expectation
environment
Strong leadership presence: calm under pressure, high standards, direct communication
KPI fluency: can measure, coach, and improve performance with numbers—not vibes
Operational rigor: systems thinker, loves checklists, hates chaos, finishes what they start
Discretion, emotional intelligence, and a luxury-service mindset
Compensation
Competitive and commensurate with experience, with performance-based growth. (Practice manager pay in Miami varies widely depending on scope and seniority; market data often places BASE SALARY ranges roughly in the ~$70k–$130k band for management roles, with higher potential at top-performing practices.)
