Administrative Assistant For The Child Maltreatment Solutions Network
The Child Maltreatment Solutions Network (CMSN) is seeking a highly motivated, well-organized and detail-oriented administrative professional to join our team.
CMSN, an interdisciplinary network of faculty dedicated to identifying the causes of child maltreatment and developing evidence-based approaches to promote prevention, detection, and treatment, has a mission to advance child protection and well-being through research, education, and community engagement.
The CMSN's mission is further supported by overseeing the Child Maltreatment and Advocacy Studies (CMAS) academic minor and serving as the University's coordinating entity for disseminating communication, raising public awareness, engaging students, and supporting service initiatives related to child protection and well-being.
The individual selected for this position will serve as an Administrative Assistant for the CMSN, interacting regularly with the CMSN Director and Executive Committee, internal college and university leadership offices, network faculty situated across multiple university colleges and departments, and network staff, as well as other external constituents and stakeholders.
Responsibilities will include, but are not limited to the following:
Assisting with maintaining director and network calendars and scheduling network-related meetings
Coordinating and attending network-related meetings, record and distribute meeting minutes
Assisting CMSN leadership in fiscal administrative activities (e.g., purchasing, reimbursement)
Supporting network leadership in management of the CMAS academic minor (e.g., coordinate CMAS course scheduling, room assignment, SEEQ assessment, register students for capstone credits, support education committee scheduling and recording of minutes, confirm graduation listing, monitor program outcomes and prepare periodic reports, distribute recruitment information)
Assisting with planning and executing conference and awareness events or other special events (e.g., securing location and event logistics, coordinating speaker travel and honoraria, managing participant registration)
Supporting CMSN leadership in annual reporting requirements, including requesting and compiling necessary data and drafting report documentation
Compiling and organizing data, agendas, and other meeting materials for network advisory board and committees
Coordinating travel and related logistics, assemble travel expenses and receipts, and enter travel reimbursement into the SAPConcur
Supervising CMSN workstudy and/or student interns in supporting CMSN activities or communication and outreach efforts
Other duties, as assigned.
Experience in Microsoft Office programs, SAPConcur (Travel and Expense Reimbursement System), SIMBA (Financial System), LionPath (Student Portal), 25Live (Room Reservation System), digital communications platforms (e.g., MailChimp), and Zoom is preferred.
Additional required competencies include excellent critical thinking and interpersonal skills as well as strong written and oral communication skills. Team orientation and willingness to collaborate with staff and faculty across all units is essential, as are a strong capacity for customer service, conscientious attention to detail, excellent organization, and time management abilities to proactively multi-task in a fast-paced environment.
Consistent high quality and thoroughness of work is crucial. A proven track record of exercising discretion and independent, excellent judgment and initiative, while managing confidential information is vital. Excellent computer skills, including proficiency in all Microsoft Office applications and the ability to learn new software applications, are essential.
This position has the potential to work in a hybrid model (1-2 days remote per week) at the discretion of the hiring manager. Questions related to flexible work schedules should be directed to the hiring manager during the hiring process.
