How You’ll Make An Impact
As an Executive Assistant you'll be at the forefront of our innovation, driving specialty chemical solutions forward. You'll collaborate with a diverse group of passionate individuals to deliver sustainable solutions to advance mobility, improve wellbeing, and enhance modern life.
You’ll be responsible for handling administrative duties for senior leaders and their departments, including project management opportunities as needed. Back-up for other administrative assistants on the team.
In This Role, You Will
Provide administrative support for departments including, but not limited to, presentation preparation and calendar maintenance.
Utilize SAP system for purchase requisitions, service requisitions, maintenance work orders, Capital Project time allocations, service acceptances, delivery notifications, new hire/contractor setup and other functions as needed.
Coordinate and interface with Purchasing, Finance, Accounting and HR to manage items associated with SAP.
Plan and schedule meetings, conferences, teleconferences, and travel, including room setup, catering and sending out meeting invites/reminders.
Coordinate office moves of current employees and office preparation for new employees.
Maintain department organization charts, phone lists, Outlook distribution lists, evacuation lists and others as needed.
Assign training modules in Career Essentials.
Partner across administrative teams to strive for consistency in processes when practical.
Order office supplies, including kitchen items and business cards for the department.
Coordinate and manage SharePoint sites.
Provide backup for other administrative staff in the department.
Other tasks as assigned.
Required Qualifications That Enable Your Success
High school diploma or equivalent.
Minimum five years of administrative and/or secretarial experience or Bachelor’s degree in Business Administration and 1 year administrative and/or secretarial experience.
Fluent in oral and written English, and skillful in MS office (Word, Excel, Power Point, Outlook, etc.).
Excellent communication and interpersonal skills, able to deal with all levels of personnel in a courteous and mature manner.
Self-starter with highly effective organizational skills and ability to handle confidential matters.
Demonstrate good judgment independently and make recommendations to solve problems.
Ability to multitask.
Maintain high ethical standards and confidentiality at all time
Bachelor’s degree with an emphasis on business and experience with SAP considered a plus.
