
Executive Assistant

Ray County Hospital is seeking a highly organized, resourceful, and confidential Executive Assistant to provide high-level administrative support to the Chief Executive Officer (CEO) and senior leadership team. This position plays a critical role in ensuring efficient operations of the executive office in a rural healthcare setting, requiring flexibility, discretion, and a deep understanding of the hospital’s mission to provide compassionate care to our community.
Key Responsibilities
Executive Support:
Manage CEO’s calendar, schedule meetings, and coordinate appointments, both internal and external.
Prepare correspondence, reports, memos, and presentations, ensuring accuracy and professionalism.
Handle confidential information with discretion and maintain strict confidentiality.
Organize and maintain executive files and records.
Board & Committee Coordination:
Prepare agendas, take minutes, and coordinate logistics for board meetings and hospital committees.
Distribute board packets and ensure compliance with documentation standards.
Communication & Liaison Duties:
Serve as a liaison between the executive office and hospital departments, staff, community partners, and outside agencies.
Screen and prioritize communications (emails, calls, mail), responding or directing as appropriate.
Project & Operational Support:
Support the CEO in special projects, strategic initiatives, and community outreach.
Coordinate travel arrangements, reimbursements, and expense reports for hospital staff.
Assist with hospital events and community engagements as needed.
Administrative Oversight:
Monitor deadlines and follow up on tasks and projects on behalf of the CEO.
Help ensure compliance with hospital policies, procedures, and healthcare regulations.
Working Conditions
Primarily office-based within the hospital administration wing.
Occasional attendance required at after-hours meetings or community events.
May involve light travel within the region.
Requirements
Education :
Associate's in Healthcare Administration, or a related field preferred.
Experience :
Minimum 3 years of administrative or executive assistant experience, preferably in a healthcare or nonprofit setting. Familiarity with rural healthcare operations is a plus.
Skills & Competencies :
Strong organizational and time management skills.
Excellent written and verbal communication.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Ability to work independently with minimal supervision.
High degree of professionalism and interpersonal skills.
Adaptability and problem-solving skills, especially in a dynamic rural healthcare environment.
