Job Summary
Analyzes, interprets and accurately codes appropriate medical information on cancer patients into the KPCO Tumor Registry database to meet State of Colorado, National and Commission on Cancer American College of Surgeon standards for cancer case abstraction. Appropriately follows and documents disease recurrence or progression adhering to approved standards. Capable of using prior year standards for case abstraction for previous year diagnoses. Generates reports, writes and updates Standard Operating Procedures (SOP) and provides new staff training.

Essential Responsibilities

This position knows and complies with all Kaiser Permanente quality, safety, and emergency policies and procedures. Demonstrates quality and effectiveness in work habits and clinical practice in every interaction with patients, colleagues, providers, and leadership. Ensures patient safety in the preparation and provisioning of care related to but not limited to medications, procedures, infection prevention, fall prevention, including consistent use of two patient identifiers and procedural time outs. Reports safety hazards, accidents and incidents, and unsafe working conditions promptly.

Performs case finding activities using registry standard operating procedures both to import electronically identified cases into the registry software and then review of the electronic medical record for valid case reportability.

Performs abstraction using cancer registry software and electronic medical record to cancer code defined pertinent case information, based on appropriate clinical time from presentation of disease process, diagnostic testing, start of first course therapy to conclusion of that therapy. Documents adequate textual information in cancer abstract required to substantiate cancer codes. Maintains a monthly caseload to ensure reporting standard of no more than 8 months post diagnosis.

Tracks case information for other selected diagnoses including but not limited to benign brain disease, hematopoetic disease, multiple primary determination and complete histology and disease grade coding. More experienced CTRs may provide training and mentoring to junior staff as needed.

Analyzes and interprets clinical information to determine a cancer patient’s current disease status and completes appropriate recurrence of disease, treatment or new cancer information, quality of life and length of survival.

Reports cases as required by the Colorado Central Cancer Registry.

Assembles, analyzes and disseminates data collected; prepares routine and special statistical reports which summarize the Colorado region’s experience with cancer management and management of other selected diseases.

Performs special studies as requested by KPCO internal customers. Performs follow‑up services for patients and physicians, with additional outcome data collection possible.

Basic Qualifications

Minimum two (2) years of current case abstraction and cancer registry coding experience.

Associate’s degree or equivalent in a health‑related profession or in health information management is required.

Oncology Data Specialist designation required.

Additional Requirements

Works independently and uses good judgment in customer contact, data security, chart interpretation and abstraction, report preparation and quality control measures.

Possesses knowledge of anatomy and physiology, medical terminology, and disease processes essential with the ability to interpret and formulate medical/cancer information into a concise cancer‑coded abstract.

Has the ability to abstract with expanded American College of Surgeons dataset, plus abstract any additional data required by KPCO internal uses.

Is proficient in using Microsoft Office Suite particularly MS Word and MS Excel.

Effective verbal and written communication skills are required.

Has pertinent experience with using automated abstracting software and electronic medical record review such as EPIC, Health Connect, MetriQ, CNExT, Oncology.

Has strong understanding of national and specialized cancer coding and classification systems for diagnosing and staging Facility Oncology Registry Data Standards (FORDS), International Classification for diseases in Oncology (ICD‑O), Surveillance Epidemiology and End Results Program (SEER), American Joint Committee on Cancer Staging Principles (AJCC), AJCC Collaborative Staging (CS), SEER drug index, Multiple Primary and Histology coding and Hematopoietic database rules to correctly and efficiently analyze, interpret, abstract and cancer‑code outpatient and inpatient medical information relating to a patient’s diagnosis of cancer. Maintains current knowledge and use of all cancer coding conventions, updates and state government reporting regulations.
