Responsibilities
Oversee purchasing activities for assigned departments, including purchase requisitions, invoice processing, and supplier registration, ensuring compliance with university policies and timelines.
Collaborate with coaches and staff to procure equipment, supplies, and services, offering guidance on cost-effective purchasing strategies.
Provide education, training, and support on procurement processes.
Coordinate with staff and travel partners to manage travel logistics, including travel authorizations and travel card reconciliations.
Develop and maintain onboarding materials for new employees to ensure consistent orientation and training.
Analyze purchasing data and procedures to identify opportunities for cost savings and operational efficiencies across departments.
Maintain organized and auditable records for all business transactions, including purchase orders, invoices, and payments.
Monitor and reconcile purchase order balances, ensuring timely invoice tracking and payment.
Review and facilitate purchasing contracts and agreements, ensuring alignment with university policies and guidelines.
Support year-end financial close processes, including purchase order closures, accounting adjustments, and fiscal year-end expenditure reconciliation.
Foster positive, professional relationships with university departments, vendors, and Athletics staff to ensure efficient business operations.
Ensure compliance with NCAA, Atlantic Coast Conference, University, and departmental policies and procedures.
Evaluate and recommend improvements to business office operations, policies, and internal controls to safeguard assets and enhance efficiency.
Perform other duties as assigned within the scope of business operations.
Qualifications
Bachelor's degree and two years of experience, or a high school diploma or equivalent and experience equal to six years. (Note: post-high school education may substitute for experience at the equivalent rate.)
