Description
Job Summary:
The Operations Support Specialist is responsible for providing administrative and clerical support to ensure efficient office operations. Duties include answering calls, greeting visitors and participants, managing mail and supplies, supporting intake and registration processes, maintaining participant data, and assisting with administrative projects. This role also helps with housing and office supply tracking and supports the operation, housing and clinical teams as needed.
Key Responsibilities:
Manage-day-to-day front desk Operations: greet visitors and participants, answer phones, and assist with registration (entering demographics, scheduling, and verifying insurance).
Answer general inquiry lines, provide accurate information, and redirect calls as needed.
Perform clerical tasks such as photocopying, filing, mail distribution, faxing, and maintaining bulletin boards.
Support intake coordination with appointment confirmations, reminder calls, rescheduling, and eligibility verification.
Enter and maintain participant demographic and program data in the electronic health record (EHR).
Manage the lobby to ensure a safe, welcoming, and organized space.
Assist with administrative projects, training logistics, and other operational needs as assigned.
Provide data entry support for business office functions such as health records requests and provider credentialing.
Maintain provider schedules and update insurance data in CareLogic EHR; verify client eligibility through payer portals.
Support accounts receivable and related administrative processes as needed.
Track incoming and outgoing housing and office supplies.
Collaborate effectively with staff, program teams, and community partners while maintaining professionalism, confidentiality, and participant dignity.
Requirements:
Proficiency with Microsoft Office and general computer skills.
Experience in administrative/clerical work required.
Experience in treatment or housing services preferred.
High school diploma or GED preferred.
Strong communication skills with a trauma-informed approach.
Ability to work effectively in a diverse, collaborative, and culturally responsive environment.
