Executive Secretary to the School Principal

Location: Housatonic Valley Regional High School
Reports To: School Principal
Position Overview: Regional School District No. 1 is seeking a highly organized, detail-oriented, and professional Executive Secretary to the School Principal. This key role serves as the central hub of school operations, providing high-level administrative support to the Principal and ensuring the smooth day-to-day functioning of the school. The Executive Secretary plays a critical role in managing student information systems, supporting budgeting processes, overseeing attendance reporting, coordinating office operations, and planning major school events. This position requires sound judgment, discretion, and the ability to manage multiple priorities in a fast-paced, collaborative environment.
Key Responsibilities

School Operations & Administration
Oversee daily operations of the main office to ensure efficiency and exceptional customer service
Supervise and coordinate office staff and workflows
Support budgeting and financial processes in collaboration with the Principal and district administration
Order and manage office supplies, equipment, and general office needs
Coordinate building use and maintain related documentation
Manage vehicle records and community use of school facilities
Attendance, Records & Compliance
Coordinate and submit required state and district attendance and enrollment reports
Maintain accurate student records in compliance with federal, state, and district regulations
Track and process staff attendance, time slips, and payroll documentation
Ensure strict confidentiality of all student, personnel, and school records
Data & Systems Management
Manage and maintain the Student Information System (SIS), including enrollment, scheduling, and grade storage
Ensure accuracy and integrity of all school data systems
Provide support and troubleshooting assistance to staff
Scheduling & Communications
Manage the Principal's calendar, including meetings, appointments, and events
Coordinate the school-wide annual calendar
Serve as a liaison between the Principal and students, families, staff, community members, and local media (as directed)
Student Programs & Support
Manage the Free and Reduced Lunch program, including application processing and family outreach
Maintain accurate and confidential program records
Events & Special Projects
Coordinate logistics for major school events (e.g., graduation, National Honor Society induction, Wall of Honor ceremonies)
Collaborate with faculty advisors and district leadership to ensure successful event execution
Team Collaboration
Participate in cross-training and provide coverage for other administrative support staff as needed
Maintain a collaborative, team-oriented approach to school operations
Attend relevant professional development and training
Qualifications

Education & Experience
High school diploma required; Associate's or Bachelor's degree preferred
Minimum of three (3) years of progressively responsible administrative support experience, preferably in a school setting
Experience with student information systems and budget management preferred
Skills & Abilities
Exceptional organizational and time-management skills
Strong attention to detail and ability to manage multiple priorities
Proficiency with Google Workspace and other office technologies
Experience with SIS and financial/accounting systems
Strong written and verbal communication skills
Demonstrated leadership and supervisory abilities
Ability to exercise sound judgment and maintain confidentiality
Physical Requirements
Ability to work in an office setting with extended periods of sitting
Ability to move throughout the building as needed
Ability to lift up to 20 pounds
Terms of Employment
This position is part of the AFSCME Local 1303-266 bargaining unit. Salary, work year, hours, and working conditions are established by the collective bargaining agreement.
