Job Description
Lower Merion School District is anticipating hiring an Executive Secretary at Bala Cynwyd Middle School. The Executive Secretary is the personal secretary for the Principal, supervising appointments, invoicing, accounts payable & receivable, purchase orders, and public relations duties.

The role includes, but is not limited to the following responsibilities:

Reads and routes incoming mail of the Principal; composes and types routine responses.

Manages invoices, accounts payable & receivable, and purchase orders for the building.

Answers and screens the Principal’s telephone calls; arranges conference calls.

Conducts research, compiles and types statistical reports.

Coordinates and arranges meetings using electronic calendar software such as Outlook; prepares agendas, reserves facilities; records and transcribes minutes.

Greets visitors, determines nature of business, directs them to appropriate staff.

Responds to requests for information, questions, concerns, and complaints from parents, students, staff, visitors, administrators, and the community while safeguarding confidential information.

Composes or transcribes from rough drafts: correspondence, bulletins, reports, memoranda, daily announcements, employee evaluations and other materials as assigned by the Principal.

Compiles records and maintains accurate files including student information via PowerSchool, discipline, budget reports, and other school records.

Coordinates mass mailings to parents.

Talks with students encountering problems, resolves issues or directs them to staff.

Oversees distribution of books and testing materials, ordering of supplies, processing purchase orders.

Maintains petty cash and student activity accounts; oversees fund distribution, records transactions, audits accounts.

Oversees calendar of school events; prepares announcements and notifies central office.

Serves as a backup to other secretaries/clerical aides and supports team efforts.

Performs other related duties as assigned.

Qualifications
High school diploma or GED required; Bachelor’s degree desired.

Five or more years of experience and/or training preferred.

Demonstrated ability to compose clear, concise, and professional correspondence; strong interpersonal skills; ability to interact with teachers, students, administrators, and parents verbally and in writing.

Organizational skills and ability to manage multiple tasks.

Understanding of confidentiality and securing confidential information.

Proficiency in Microsoft Office (Word, Outlook, Excel); ability to use the internet for research.

Working knowledge of PowerSchool or similar Student Information System is strongly preferred.

Applicant must demonstrate competency on computerized qualifying tests.

Child Abuse, PA State Police, and FBI clearances required (no less than one year from date of hire).

Salary and benefits set by LMEA Collective Bargaining Agreement. Starting salary for the 26-27 school year is $59,339.00 (subject to prorated based on start date).
