This position is non-exempt under the Fair Labor Standards Act and is paid hourly and eligible for overtime pay. The hours are 8 a.m. - 4 p.m.

Position Summary:
The School Administrative Assistant maintains the school's front office and serves as a critical communication and organizational link among staff, students, families, visitors, and volunteers. This role ensures efficient daily operations of the school while also supporting key administrative functions in partnership with the central office, including enrollment, student information management, family services, and communications.
Position Responsibilities:
Front Office Operations & Customer Service
Serve as the first point of contact by answering phones, greeting and directing visitors, and responding to inquiries from students, families, staff, and community members
Maintain a welcoming, organized, and professional front office environment
Take and relay messages accurately and in a timely manner
Manage front office traffic, ensuring safety and proper visitor procedures
Enrollment & Student Registration
Support student enrollment processes, including new student registration and withdrawal procedures
Assist families with completing enrollment applications and required documentation
Support ensuring all enrollment documents are collected, verified, and properly filed
Support in updating enrollment information in the Student Information System (SIS)
Partner with central office on enrollment tracking, waitlists, and lottery processes as applicable
Communicate with prospective and newly enrolled families to support a smooth onboarding experience
Student Information & Records Management
Maintain accurate student records in compliance with the Family Educational Rights and Privacy Act (FERPA)
Request, send, and manage cumulative student records within required timelines
Support data entry and updates in the Student Information System (SIS), including: Assist in updating student phone numbers, addresses, and contact information
Support data cleanup efforts, including reviewing attendance and enrollment, updating attendance and tardies, and identifying any duplicates, errors, or incomplete entries
Maintaining enrollment and demographic records
Assist with Free and Reduced Lunch application
Generate student reports, lists, and rosters as needed
Attendance & Compliance
Track and monitor daily attendance, absences, and tardies
Enter attendance data into the SIS accurately and consistently
Communicate with families regarding attendance concerns and follow-up
Support compliance with state and district reporting requirements
Communication & Family Engagement
Support proactive and responsive communication with families (English- and Spanish-speaking preferred)
Prepare and distribute newsletters, announcements, and flyers as needed
Assist with family outreach, reminders, and school-wide communications
Support collection of staff bios and updates for school displays (e.g., hallway boards) and the school website
Operations, Logistics & Vendor Coordination
Coordinate deliveries and manage incoming/outgoing mail
Schedule routine maintenance for equipment and facilities
Serve as an initial point of contact for vendors (e.g., transportation, food service, facilities)
Support meal services operations, including coordinating meal orders, communicating with food service vendors, and assisting with tracking and distribution logistics
Support logistics for school events, meetings, and daily operations
Staff Support & Scheduling
Support scheduling and coordination of substitute teachers
Assist with field trip logistics, including communication, documentation, and coordination
Provide general administrative support to teachers and school leadership
Assist with calendar management and meeting coordination as needed
General Administrative & Central Office Support
Support the Development Manager with fundraising efforts, including coordinating communications and donor-related logistics
Perform a variety of clerical tasks including filing, document management, and correspondence
Partner with central office teams on key administrative processes (e.g., enrollment, compliance, reporting)
Support cross-functional projects and school-wide initiatives
Perform other duties as assigned
Skills and Qualifications:
High school diploma or GED certificate required
Excellent and timely attendance required
Bilingual in English and Spanish preferred
Outstanding verbal and written communication skills
Demonstrated success with college-level coursework preferred
Minimum 3 years professional work experience, preferably in a school setting.
Demonstrated success in office management in the non-profit, community development or education sector.
Proficiency with or willingness to learn our student information systems, Microsoft Office Suite, Google Apps, and other computer programs
Desire to continue professional development
Excellent organization skills and an ability to coordinate multiple tasks and activities while adhering consistently to outlined processes
An ability and enthusiasm for promoting the school and its mission to a broad and diverse group of people.
Independent problem solving and customer service oriented
Excellent work ethic, positive attitude, flexibility and willingness to perform tasks assigned
Demonstrates ethical behavior and confidentiality of information about students and teachers in the school environment and community.
Must pass an extensive background check.
