
Executive Assistant (Operations & Leadership Support)

Interior Carpentry Design , located in Orange County, CA, Full-Time, W-2, is seeking a high-performing Executive Assistant to support leadership execution and pre-construction coordination.
What You’ll Do
Executive & Operational Support
Own and manage executive calendars, scheduling, and meeting coordination.
Act as a gatekeeper and communication hub for leadership.
Organize and track priorities, projects, and follow-ups across the business.
Support administrative functions, including document management, reporting, and coordination.
Help build, document, and refine internal processes and workflows.
Assist with light project coordination across operations and field teams.
Ensure consistency, professionalism, and follow-through in daily operations.
Pre-Construction & Technical Support
Review and interpret construction drawings and blueprints.
Assist with basic estimating and takeoffs.
Support creation and maintenance of Excel-based estimating and tracking sheets.
Coordinate and order materials from suppliers, ensuring accuracy and timeliness.
Maintain organized records of project specifications, materials, and pricing.
Collaborate with leadership and field teams to ensure alignment between plans, estimates, and execution.
What We’re Looking For
3+ years of experience in an Executive Assistant, Operations, or Administrative role.
Strong organizational skills with exceptional attention to detail and follow-through.
Proactive, resourceful, and able to operate with minimal direction.
Strong written and verbal communication skills.
Professional, composed, and solution-oriented under pressure.
Comfortable working in a fast-paced, growing environment.
Technical & Functional Requirements
Proficiency in AutoCAD required (ability to produce and modify light 2D drawings) or ability to navigate construction drawings.
Strong skills in Excel (tracking, basic formulas, and data organization).
Experience reading and interpreting blueprints and construction plans.
Exposure to estimating, takeoffs, or material coordination.
Experience ordering materials and coordinating with suppliers.
Preferred
Experience supporting leadership in construction, design-build, or a trade-based business.
Familiarity with construction management platforms (Buildertrend, Procore, or similar).
