Description
The Executive Assistant provides high-level administrative, operational, and coordination support to the executive leadership team. This role requires strong professional acumen, sound judgment, and a high level of confidentiality when handling sensitive information. The ideal candidate is proactive, exceptionally organized, detail-oriented, discreet, and able to manage multiple priorities with poise and professionalism.
Responsibilities
Handle sensitive and confidential information with discretion and sound judgment
Serve as a gatekeeper for executive schedules, ensuring priorities are protected
Provide day-to-day administrative support to the executive team, including:
Calendar management and meeting coordination
Drafting and managing correspondence
Preparation of agendas, presentations, and meeting materials as needed
Logistics and event support to include event coordination, travel planning, dining and meeting reservations, etc.
Manage office supplies, inventory, apparel ordering, corporate memberships across locations
Support internal communications for executive team, Human Resources, Sales and Marketing
Process administrative purchase orders, reconcile executive credit cards, expense tracking and manage receipts
Assist and support company-wide employee programs
Manage mail, shipping, document preparation, and general administrative services
Lead and support special projects, as assigned by the executive leadership team
Qualifications
Proven experience as an Executive Assistant, Administrative Assistant, or similar role supporting senior leadership
Ability to handle confidential and sensitive information with professionalism and discretion
Strong organizational and time-management skills with the ability to manage multiple priorities simultaneously
Exceptional attention to detail and follow-through
Excellent written and verbal communication skills
Proficiency in Microsoft Office Suite, Outlook, and document management tools
Experience coordinating travel, meetings, and events
Strong interpersonal skills and ability to work effectively across departments and with external vendors
Problem-solving mindset with a proactive, service-oriented approach
Experience with purchasing, invoicing, and expense reconciliation preferred
