
Office Manager

Overview
The Office Manager, Field performs office essential functions in a field-based capacity. This person serves as a link between project leadership and craft personnel, including but not limited to changes in work schedule, tracking of worked hours, and mass text message alerts as needed.
Travel
Travel required up to 100%. Position requires presence directly on the Project Site location.
Responsibilities
Maintaining databases
Collecting expense data
Ensuring office supplies are stocked
Support site leadership with craft worker communications
Oversight of new hire, timekeeping, and separation tasks in applicable software systems
Works with the payroll team to ensure pay accuracy for weekly pay process
Maintains office files; implements an efficient system for other staff to access files and records
Create administrative processes as needed
Maintains office efficiency by planning and implementing office systems, layouts, and equipment procurement.
Onboarding of new hires
Document Control
Oversight of invoice processing, serve as back up as needed
Manage, lead direct reports, and mentor.
Qualifications
Education and Work Experience Requirements:
4 years related experience and/or training or equivalent combination of education and experience
Minimum of 1 year accounting and office management experience in the construction, engineering or architectural (or related) field
Knowledge, Skills, and Abilities Required:
Be knowledgeable of MIC Health and Safety programs and project specific regulations.
When on-site, actively participate in daily toolbox meetings with crews and subcontractors.
Set a personal example of safe behavior.
Strong background in the utilization of Microsoft Office Suite
Ability to work independently and with a team in a fast-paced and high-volume environment with emphasis on accuracy and timeliness.
Basic knowledge of office operations in a construction field environment
Demonstrate the ability to work with vendors and customers.
Capacity to work with other departments within the organization to reach consensus and solve problems.
Self-motivating and capable of taking initiative to obtain improvements in the accounts payable and cash disbursement process.
Intermediate skills of accounting systems and Excel spreadsheets.
Excellent verbal, written and interpersonal skills.
Other duties may be assigned.
Physical Demands
This position requires prolonged sitting at a desk and working at a computer. Must be able to lift up to 20 pounds at times.
