Position Overview
An Inside Service Manager serves as an entry point into the service side of the equipment rental industry. This role focuses on the maintenance and repair of equipment, parts order handling and inventory management, and customer billing. The position also involves collaborating with the outside sales team to ensure exceptional customer service and support.
Responsibilities
Provide detail-oriented support to shop technicians in diagnosing, repairing, and maintaining equipment within the service facility.
Coordinate daily shop repair activities, ensuring technicians have the parts, tools, and documentation needed to complete work efficiently.
Open, update, and close work orders to ensure accurate tracking and documentation of all in-shop service jobs.
Use company systems and tools, including Smart Equip and ERP systems, to document, track, and manage service repairs and parts activity.
Manage the receiving, organization, tracking, and relocation of parts to maintain efficient shop operations.
Maintain accurate and up-to-date equipment maintenance records and service documentation.
Assist the Director of Operations and service leadership with service-related tasks to support overall department efficiency.
Monitor technician training progress and help coordinate internal and external training to support skill development and compliance.
Ensure adherence to established safety policies and procedures within the shop environment.
Provide technical guidance and operational support to technicians to help resolve equipment issues and maintain repair quality.
Communicate effectively with technicians, sales, and management teams to support service operations and customer satisfaction.
Complete administrative tasks such as logging service activity, creating purchase orders (POs), and ordering parts to support shop operations.
Qualifications
High School Diploma
2-year technical certificate, 5 years of experience in service management for heavy equipment, or a related college degree
PC proficiency required, particularly in Microsoft Office applications
Extensive equipment (OEM product) and maintenance knowledge
Valid Driver’s License
Strong organizational skills
Excellent customer service skills
Ability to build relationships and motivate people
Military service will be considered in lieu of education/certification experience as applicable.

Combination of office, shop, and yard settings
Regular exposure to diesel engines, heavy equipment, and mechanical tools
Noise levels may be high at times; ear protection may be required
Exposure to diesel fumes, lubricants, and other shop-related chemicals
Occasional lifting, bending, and walking throughout the facility
PPE such as safety glasses, steel-toe boots, gloves, and hearing protection may be required
Variable temperatures depending on season and indoor/outdoor environment
Fast-paced, hands-on environment requiring strong leadership and adaptability
Standard business hours with occasional extended hours or weekend oversight
Collaboration with technicians, service advisors, rental staff, and customers
Travel Required
Occasional driving to different locations for shop walks and inventory checks
Physical Demands
Regularly required to sit, stand, walk, and move throughout office, shop, and yard areas
Must be able to bend, kneel, or crouch occasionally to inspect equipment or interact with technicians
Ability to lift and carry up to 30 pounds occasionally
Frequent use of hands and fingers for typing, writing, and using office equipment
Visual and auditory ability required to read documents, use computer screens, and communicate in noisy environments
Occasional exposure to outdoor elements such as heat, cold, wind, and rain
Must safely navigate uneven surfaces and areas with heavy machinery or vehicles in operation
May be required to wear PPE when in shop or yard areas
