Job Description
The Clinical Services Representative provides clerical and administrative support to clinical staff, helping ensure smooth unit operations while delivering exceptional customer service to patients and visitors. The position follows established guidelines and functions under close supervision.
Responsibilities
Patient Medical Record Management
Assembles and maintains complete and accurate patient medical records from admission through discharge.
Collects, organizes, and files all patient‑related documentation; runs required reports and retrieves data upon request by physicians or nursing staff.
Processes patient orders and requests for diagnostic exams and ancillary services (e.g., laboratory tests, imaging, transportation) accurately and within required timeframes.
Coordinates patient admissions, transfers, and discharges in collaboration with clinical staff.
Unit Support & Inventory
Orders unit supplies and equipment as needed and maintains appropriate inventory levels.
Retrieves medications from the pneumatic tube system and/or pharmacy and delivers them to nursing staff or places them in a secure location as directed by the nurse manager.
Quality & Customer Service
Assists nursing staff with retrieving medications from the pneumatic tube system and ensures proper placement for administration.
Serves as the unit receptionist by greeting patients, directing visitors, and providing information to medical staff in accordance with guidelines.
Answers phone calls using proper telephone etiquette and responds to patient call lights promptly.
Maintains a clean, organized, and orderly work area and ensures unit office equipment is properly maintained.
Collaboration & Partnership
Contacts physicians for consultations and communicates relevant information to nursing staff in a timely manner.
Other Duties
Performs additional duties as assigned or requested.
Qualifications
Education
High school diploma or equivalent required.
Training
Medical terminology or Medical Assistant training preferred.
Skills & Abilities
Strong communication and customer service skills.
Proficiency in basic computer applications.
Working knowledge of medical terminology.
Ability to operate standard office equipment and effectively multitask in a fast‑paced environment.
Licensure/Certification
Current Basic Life Support (BLS) certification required for positions in mental health departments only.
