Overview We are seeking a detail-oriented and proactive Project Coordinator to join our dynamic team. A Project Coordinator ensures the smooth and efficient execution of construction projects. They act as a central point of contact, managing schedules, budgets, and communication between various stakeholders, including contractors, suppliers, and clients. Their responsibilities range from initial planning to project completion, encompassing tasks like document management, procurement, quality control, and risk management. A Project Coordinator typically works behind the scenes to ensure that all elements of the project are aligned and moving forward efficiently. Responsibilities Assist and suggest best practices for project efficiency and cost-effectiveness. Assist in managing and tracking certified payroll across all projects in different formats for state agencies. Assist in obtaining pricing and the development of contract change orders and subcontract change orders. Assist in the creation of construction project plans and timelines, as needed. Assist in the resolution of any conflicts or disputes on-site or in-office. Communicate daily progress reports and escalate issues as needed. Coordinate scheduling of on-site staff, subcontractors, suppliers, and deliveries across all projects. Coordinate site access and logistics for contractors and deliveries. Ensure all deadlines are met and anticipate potential delays. Ensure all documentation complies with legal and regulatory standards. Facilitate meetings and relay updates across teams. Maintain accurate records of contracts, permits, Requests for Information (RFI), change orders, and project drawings. Mange inventory and verify delivery of goods. Order materials and supplies, ensuring timely delivery to job sites. Report violations or non-conformance to supervisors, project managers or management team. Support the project management team with creating kickoff meeting minutes and weekly project meeting minutes. Support the subcontracting process and subcontract/purchase order preparation. Willingly and cooperatively perform tasks and duties as needed by the project by field supervisors, project managers or management staff. Work with vendors and suppliers to ensure cost-effective procurement. Skills/Qualifications 3+ years more relevant experience. Ability to build and maintain relationships with diverse stakeholders. Ability to troubleshoot issues and think critically to solve complex problems. Ability to work independently and as part of the team. Bachelor’s Degree with preference in construction management, business management or related field. Capability to manage multiple tasks efficiently under tight deadlines. Carrying out office-related administrative tasks. Excellent written and verbal communication skills and ability to follow instructions. Knowledge of safety procedures and regulations. Math and analytical abilities for tasks like estimating and scheduling. Meticulous in maintaining accurate records and ensuring compliance with regulations. Physical stamina and strength to perform heavy labor tasks, when necessary. Proficiency in reading and interpreting technical documents. Reliable and punctual with strong work ethic. Strong attention to detail and accuracy. Valid driver’s license and reliable transportation.
