Why does the job exist?

The Senior Administrative Assistant provides critical operational and administrative support to the Air Quality Bureau, ensuring that core programs function efficiently, accurately, and in compliance with regulatory and organizational requirements. This position serves as a central point of coordination for administrative processes that support permitting, reporting, fiscal tracking, and daily bureau operations, enabling technical and professional staff to focus on air quality planning, compliance, and environmental protection efforts.

By maintaining accurate records, managing key data systems, supporting public and internal inquiries, and coordinating logistical and operational needs, this role helps ensure timely service delivery, reliable information management, and consistent organizational workflow. The position contributes to regulatory transparency, fiscal accountability, and a professional public-facing presence, directly supporting the bureau's mission to protect air quality and public health.

How does it get done?

- Provide administrative and operational support to the Air Quality Bureau by maintaining accurate records, managing data in permitting and tracking systems, and ensuring documentation is complete and accessible
- Serve as a primary point of contact for the bureau by responding to inquiries, directing calls and visitors, and supporting clear communication with the public and internal staff
- Support regulatory and planning activities by coordinating legal publications, tracking compliance documentation, and maintaining required records
- Assist with fiscal and administrative processes by processing mail, tracking permit fees and invoices, and reconciling payments with associated records
- Coordinate logistical and operational needs, including fleet vehicle scheduling and mileage reporting, office operations, building services, and vendor access
- Support workforce operations by assisting with onboarding processes, maintaining orientation materials, and coordinating with supervisors and Human Resources

- Occasional contact with external Federal, State and Local regulatory bodies as well as contractors and environmental not for profit organizations
- Internal staff

Ideal Candidate

The ideal candidate will have experience in the following:
- Demonstrating strong attention to detail and accuracy when entering, reviewing, and maintaining data and records
- Organizing and managing multiple administrative processes, tracking documentation, and meeting deadlines in a regulated environment
- Communicating clearly and professionally when interacting with the public, internal staff, and external partners
- Working with databases, electronic filing systems, and standard office technology
- Showing initiative and adaptability when supporting office operations, coordinating logistics, and responding to changing priorities

Minimum Qualification

High School diploma or equivalent and two (2) years work experience in office administration. Any combination of education from an accredited college or university in a related field and/or direct experience in this occupation totaling two (2) years may substitute for the required experience.

Employment Requirements

Must possess and maintain a valid driver's license. Must possess and maintain a current Defensive Driving Course Certificate from the State of New Mexico or must pass and receive Defensive Driving Course Certification within six (6) months of date of hire as a condition of continued employment.

Working Conditions

Work is performed in an office setting with exposure to Visual/Video Display Terminal (VDT) and extensive personal computer and phone usage. Some sitting, standing, bending and reaching may be required.
