Job Summary/Basic Function
The College of Science Dean's Office administrative specialist is the primary point of contact for visitors. The qualified candidate will possess strong verbal and written communication skills and have a willingness to learn new processes that are essential to the running of the Office of the Dean. The individual will perform administrative, clerical, and office duties associated with the operation of the Dean's Office. The Administrative Specialist reports to and is supervised by the department's Administrative Associate.
Required Qualifications
Required:
High school diploma or equivalent.
Two years full-time equivalent secretarial, administrative and/or office manager experience.
Experience using PC applications (e.g. word processing, spreadsheets, internet, data analysis)
Preferred Qualifications
Preferred qualifications include the following:
Seeking detail-oriented applicants with the ability to organize, prioritize, and complete varied work projects with deadlines in a timely manner; high proficiency using PC applications including data analysis spreadsheets; excellent verbal and written communication skills; ability to interface effectively with a variety of individuals.
Familiarity with Outlook calendar
Ability to work with and maintain confidential and sensitive information
Strong verbal and written communication skills
Excellent customer service skills
Knowledge of financial record keeping in an academic setting as well as a familiarity with other academia related tasks including but not limited to rank and tenure and adjunct contracts. Familiarity with Banner reports, Paw Place, and Canvas.
Experience with managing the calendar of an executive such as a Dean.
Familiarity with P-card reports and requirements.
Working knowledge of how scholarship applications are processed and maintained.
