Overview
An Am Law 100 firm is seeking a Conference Services Support Specialist to join its Operations team. This individual will serve as a key point of contact for clients, attorneys, and staff, delivering a high level of service while managing reception, call handling, and conference services. This role is highly visible and requires professionalism, attention to detail, and a strong client-service mindset.
Key Responsibilities
Greet clients and visitors in a professional and welcoming manner; manage visitor check-in and badge distribution
Answer and direct incoming calls promptly and efficiently; assist with conference call setup and confirmations
Coordinate and manage conference room reservations using the firm’s scheduling system
Confirm meeting details and proactively follow up to ensure accuracy and readiness
Liaise with internal departments (e.g., food service, facilities, IT/AV) to support meetings and events
Conduct floor checks to ensure conference rooms are properly set up with required equipment and materials
Communicate effectively with attorneys, staff, and external vendors
Assist with additional operational and administrative tasks as needed
Qualifications
3–5 years of experience in a client-facing role (e.g., receptionist, concierge, hospitality, airline, or similar environment); law firm experience is a plus
Strong communication skills, both verbal and written
Excellent organizational, time management, and multitasking abilities
High level of professionalism and ability to remain composed in a fast-paced environment
Team-oriented with the ability to work independently
Proficiency in Microsoft Outlook, Word, and Excel
Familiarity with conference room technology and AV equipment is a plus
Experience with multi-line phone systems or switchboards preferred
Education
High school diploma or equivalent required; some college coursework preferred
Additional Requirements
Flexibility to work overtime, evenings, and occasional weekends as needed
Ability to lift up to 20–30 pounds
Maintain a polished, professional appearance in accordance with firm guidelines
Adhere to strict confidentiality and information security protocols
Compensation & Benefits
The base salary for this position is $60,000. Total compensation may include overtime, discretionary bonuses, and a comprehensive benefits package. xsgimln Compensation will be determined based on experience, skills, and other relevant factors.
