Position Summary
Full-time, on-site Executive Assistant / Office Administrator. You are the operational right hand to the firm: you handle the admin that keeps everything running (scheduling, billing support, banking, mailing, vendors, supplies, follow-ups) and protect attorney time by keeping priorities organized and execution tight. This role is for someone who thrives in a growing firm where processes are strong but still evolving.

Core Responsibilities
Manage scheduling, confirmations, reminders, and daily logistics
Support billing/admin workflows (invoicing support, payment follow-ups, vendor bills, basic reporting)
Handle banking and office errands (deposits, check runs, pickups/drop-offs)
Run mailing/shipping workflows (certified mail coordination, postage, tracking, supplies)
Manage office operations (vendors, repairs, ordering, inventory, facilities)
Maintain trackers, checklists, and follow-ups so nothing slips
Coordinate internal meetings (Zoom links, agendas, action items)
Handle general “whatever needs to get done” execution in a busy law office

Qualifications:
3+ years in a demanding admin/EA/office manager/operations role. Extremely detail-oriented, reliable follow-through, strong judgment and discretion, and clear communication. Comfortable with Outlook, Word, Excel, PDFs/scanning, and basic tech troubleshooting. You should be flexible and resilient with shifting priorities and the ups/downs of a growing business. Law firm experience is a plus, not required.
