
Front Office Team Member

Apex is seeking a highly motivated, service-driven Front Office team member to join our established, high-performing practice. In this role, you will be the first point of contact for patients, responsible for delivering an exceptional experience while supporting the smooth and efficient operation of the practice.
As a key member of the team, you will play an important role in maintaining schedule flow, supporting daily operations, and ensuring patients clearly understand their care and financial responsibilities. You'll work closely with both clinical and administrative teammates in a collaborative environment that values accountability, positivity, and continuous improvement.

Core responsibilities include:
• Deliver a professional, friendly, and efficient experience when handling patient phone calls and inquiries
• Manage provider schedules to optimize flow, minimize gaps, and support a productive, well-organized day
• Greet patients warmly and ensure all demographic and insurance information is accurate and up to date
• Prepare and clearly communicate treatment plans, helping patients understand recommended care and next steps
• Collect payments and confidently manage financial conversations with accuracy and professionalism
• Verify insurance benefits, submit claims, and support timely and accurate reimbursement processes
• Coordinate patient check-in and check-out to ensure a smooth, consistent experience
• Maintain accurate patient records and documentation within practice systems
• Collaborate with team members to support efficient patient flow and resolve day-to-day operational needs
Job Requirements:
• Minimum of 1 year of front office or customer-facing experience (healthcare or dental preferred)
• High school diploma or equivalent required
• Positive, outgoing, and professional demeanor with a strong commitment to customer service
• Excellent verbal and written communication skills, with the ability to build rapport and clearly explain information
• Strong attention to detail and ability to manage multiple priorities with accuracy
• Reliable, accountable, and comfortable working in a fast-paced environment
• Proactive mindset with a willingness to learn, adapt, and take on new responsibilities
• Proficiency with computer systems; experience with Open Dental and Google Suite preferred
