Position Summary:
Under direct supervision, the Court Clerk Coordinator is responsible for providing all program administration and coordinating administrative duties and tasks for the Washoe Tribal Court. Responsible for contracts, Request for Proposal (RFP) development, and routing processes. Supervises the Court employees. Maintaining records, and maintaining confidentiality of all privileged information.
Essential Duties & Responsibilities:
• Purchases supplies and equipment within program budget.
• Manages program records and program filing system.
• Submits invoices, prepares check requests, purchase orders, credit card reconciliations, and tracks budgets accordingly.
• Works with IT Department to maintain website, and keeps forms and other materials current.
• Maintains an inventory for departmental equipment.
• Develops, implements, and maintains tribal program record keeping system.
• Develops and implements fiscal (time allocation) management and budget systems in accordance with grant requirements.
• Develops and maintains the program budget development and tracking.
• Develops contracts and monitor contracts life cycles.
• Performs other duties as required.
• Is responsible for producing grant reports and developing content for grant applications.
• Performs duties of a Court Clerk.
Requirements
Minimum Qualifications:
• Associate Degree plus two years administrative or office management experience, with one year in a supervising position; or equivalent combination of education and experience.
Knowledge, Abilities, Skills, and Certifications:
• Knowledge of records management and basic accounting procedures.
• Ability to work cooperatively with various Tribal Members, government officials, and all employees encountered during normal working hours.
• Ability to communicate effectively, both verbally and in writing in English.
• Ability to represent the organization in a professional manner.
• Ability to handle multiple tasks and meet deadlines.
• Ability to carry out instructions furnished in verbal or written format.
• Ability to work independently with minimal supervision.
• Skill in operating business computers and office machines, including in a Windows environment, specifically Word, Excel, Access, and presentation software (such as PowerPoint).
Physical Demands:
While performing the duties of this job, the employee regularly is required to sit; use hands to finger, handle, or feel; reach with hands and arms; and talk or hear. The employee frequently is required to walk. The employee occasionally is required to stand; and stoop, kneel, crouch, or crawl. The employee must occasionally lift and/or move up to 25 pounds.
Work Environment:
Work is generally performed in an office setting with a moderate noise level.
The Washoe Tribe of Nevada & California requires a background check of each new hire for employment purposes.
