Bilingual Front Desk Clerk

The Front Desk Clerk will organize and coordinate office administration and procedures, ensuring organizational effectiveness and efficiency.

Hours: 8 AM to 4:30 PM with a 30 minute lunch

RESPONSIBILITIES:
• Welcomes and directs visitors greeting them making them feel welcomed.
• Answer phone calls and routes these calls to desired department.
• Perform clerical duties including typing, filing, and completion of simple forms.
• Plan and organize corporate events for staff.
• Operates office machines including copies, scanners, phone and voicemail systems, computers and other standard office equipment.
• Coordinate maintenance of office equipment as needed.
• Handle outgoing shipping as needed for office staff.
• Sorts incoming mail and delivers to appropriate department or individual; processes outgoing mail by close of business daily.
• Maintains inventory of office supplies; orders new supplies as needed. Ensure office supply room is always organized.
• Ensure employee break room is keep tidy.
• Assist with office lunch orders as needed.
• Responds to and resolves administrative inquiries and questions.
• Coordinates and schedules travel, meetings, and appointments for staff as needed.
• Prepares agendas and schedules for meetings.
• Copies, sorts, and files records related to office activities, business transactions, and other matters.
• Prepares letters, memos, forms, and reports according to written or verbal instructions.
• Performs other duties as assigned.

SKILLS AND ABILITIES:
• Dependability, personable and outgoing.
• Ability to operate a computer, associated peripherals, and general office equipment (phone, printer, etc.)
• Excellent time management with the ability to multitask and prioritize work.
• Skill in organization and prioritization, planning skills, and attention to detail.
• Proficient in Microsoft Office Suite and computer-based applications.


Bilingual a must.
• Excellent verbal and written communication skills.

EDUCATION AND EXPERIENCE:
• High School Diploma or equivalent required.
• One (1) year related experience required.

PHYSICAL DEMANDS:
• Ability to sit, view a computer screen, and use your hands/fingers for six (6) to eight (8) hours.
• Occasionally (up to three hours) walk through the office and warehouse as needed.
• Occasionally (up to three hours) reach above/below should level, stoop, kneel or crouch.
• Ability to speak and hear (in person/phone) throughout the shift (up to eight hours)
• Occasionally lift or carry up to 25 pounds
