Transaction Assistant
MIMCO is seeking a detail-oriented and motivated Transaction Assistant to support the Acquisitions and Dispositions team in the coordination and administration of commercial real estate transactions. This entry-level role will assist with document management, data entry, reporting support, and general transaction tracking to ensure accurate and timely execution of deals. The Transaction Assistant will work closely with A&D staff and leadership, gaining exposure to the full transaction lifecycle while supporting process efficiency and organization.
Essential/Key Functions:
Assist in maintaining and organizing digital and physical transaction files, including contracts, leases, title documents, and due diligence materials.
Track and update transaction status reports, ensuring data accuracy across internal systems.
Support the preparation of reports, presentations, and meeting materials for acquisitions and dispositions activities.
Assist in monitoring key transaction dates and deadlines, escalating potential issues to Transaction Coordinator(s).
Perform data entry and basic review of transaction-related documents for completeness and consistency.
Coordinate document execution processes, including collecting signatures and distributing finalized documents.
Communicate with internal teams to gather required documentation and ensure timely file completion.
Assist with onboarding new transactions, including setting up file structures and tracking tools.
Support post-closing file organization and documentation handoff to internal departments.
Conduct basic research and gather information related to properties, tenants, or market data as requested.
Provide general administrative support to the Acquisitions and Dispositions team.
Perform in a manner that prevents errors and omissions.
Comply with MIMCO policies and procedures.
Physical presence on the job is essential and necessary.
Other duties as assigned by management.
Minimum Qualifications:
Experience (Required)
02 years of relevant experience (internships in real estate, finance, or related fields preferred but not required).
Exposure to commercial real estate concepts, contracts, or financial analysis through coursework or internships is a plus.
Education (Preferred)
Bachelor's degree in Real Estate, Finance, Business Administration, or a related field required.
Knowledge, Skills and Abilities:
Ability to accurately handle large volumes of documents and data with a high level of precision.
Ability to manage multiple tasks, maintain organized files, and track deadlines effectively.
Ability to review documents for completeness and identify missing or inconsistent information.
Clear and professional written and verbal communication when interacting with internal teams.
Ability to prioritize tasks and meet deadlines in a fast-paced environment.
Proficiency in Adobe Acrobat, Microsoft Office Suite (Word, Excel, Teams, Outlook, OneDrive, PowerPoint); ability to learn internal systems and software quickly.
Strong interest in commercial real estate and eagerness to develop knowledge of transaction processes.
Ability to take direction, support team members, and contribute to a collaborative environment.
