Administrative Assistant III - Warden's Office - Hobby Unit
Performs complex administrative support work. Work involves providing administrative support including disseminating information; assisting with maintaining filing systems; and preparing and editing reports and documents. Works under general supervision with moderate latitude for the use of initiative and independent judgment.
Essential Functions:
Prepares and disseminates information concerning various agency programs and services; prepares, edits, and distributes correspondence, reports, studies, forms, and other documents; and performs complex typing and word processing.
Maintains filing and record keeping systems; responds to inquiries regarding rules, regulations, policies, and procedures; and assists in the development of administrative and technical assistance policies and procedures.
Coordinates meetings and conferences to include scheduling, making travel arrangements, and preparing related paperwork.
Minimum Qualifications:
Graduation from an accredited senior high school or equivalent or GED.
Two years full-time, wage-earning customer service, clerical, secretarial, administrative support, or technical program support experience. Fifteen semester hours from a college or university accredited by an organization recognized by the Council for Higher Education Accreditation (CHEA) or by the United States Department of Education (USDE) may be substituted for each six months of experience.
Computer operations experience preferred.
Knowledge and Skills:
Knowledge of office practices and procedures.
Knowledge of business terminology, spelling, punctuation, and grammar.
Knowledge of agency and departmental organizational structure, policies, procedures, rules, and regulations preferred.
Skill to communicate ideas and instructions clearly and concisely.
Skill to coordinate with staff, officials, agencies, and the public.
Skill to interpret and apply rules, regulations, policies, and procedures.
Skill in the use of computers and related equipment in a stand-alone or local area network environment.
Skill to prepare and maintain accurate records, files, and reports.
Skill to type 45 words per minute (with no more than 10 errors) preferred.
Additional Requirements:
Ability to walk, stand, sit, kneel, push, stoop, reach above the shoulder, grasp, pull, bend repeatedly, climb stairs, identify colors, hear with aid, see, write, count, read, speak, analyze, alphabetize, lift and carry under 15 lbs., perceive depth, operate a motor vehicle, and operate motor equipment.
Conditions include working inside, working around machines with moving parts and moving objects, radiant and electrical energy, working closely with others, working alone, working protracted or irregular hours, and traveling by car, van, bus, and airplane.
Equipment (machines, tools, devices) used in performing only the essential functions include computer and related equipment, copier, calculator, fax machine, telephone, dolly, and automobile.
