Job Preview
The Physicians' Office Receptionist provides professional, welcoming, and efficient person contact for all patients seen at the Tremont medical office and its satellite locations. This role is responsible for accurate and timely patient scheduling for all physicians practicing within the office, using the current scheduling system. This position is primarily based in our Tremont office, but you may be scheduled to assist at any satellite location as needed, including occasional Saturdays. Office hours for the Tremont location are Monday - Friday, 8:00 am to 5:00 pm. The starting wage for this position is $16 per hour.
Responsibilities:
Unlock office and prepare for patients.
Answer incoming phone calls, assisting patients with scheduling needs or transferring to the appropriate department/person requested.
Take concise, accurate messages for nursing staff and physicians.
Greet patients; gather and update all necessary information upon arrival.
Update schedules in the appropriate EMR.
Schedule appointments according to individual providers' schedules and the type of service requested.
Maintain Medical Arts policies and procedures; update as needed.
Refer patients in need of payment arrangements or financial assistance to the physician billing office.
Schedule follow-up appointments as directed and provide patients with written appointment reminder cards.
Collect necessary payment at time of service.
Make reminder phone calls for upcoming appointments.
Maintain schedules for consulting physicians, notifying their home office as per their individual preference.
Complete lab requisitions and outpatient services requisitions, and direct patients to the outpatient admitting office.
Complete end of day procedures.
Assist with the ordering and restocking of office supplies as needed.
Perform other related work as required or requested.
Requirements:
High school diploma or the equivalent is required.
Excellent customer service skills and interpersonal skills, as well as compassion and caring, are required.
Proficiency in MS Office is required.
Ability to multitask and remain calm under pressure is required.
Ability and willingness to work at Medical Arts and all satellite offices (Atlanta, Delavan, Mackinaw, Manito, and Tremont) is required.
Previous medical office experience is preferred.
ICD-9 and medical terminology knowledge is strongly preferred.
Physical demands: Ability to lift and move up to 25 lbs. Able to communicate with peers and patients.
