Job Description

Position: Office Supervisor
Pay Rate: $65k - $75k
Schedule: M-F 8am - 5pm
Job Description:
The Office Supervisor is responsible for leading the office team; duties will include directing, managing, and motivating your office staff to provide superb customer service. The ideal candidate will have the desire to hire, coach, and cross train their staff. Experience and proven track record in scheduling, payroll, claims, information systems, A/R, and A/P is required.
Core Responsibilities & Duties:
Analyze and organize office operations and procedures such as information management, filing systems, supply requisitions, and other dock services
Prepare A/P and A/R and provide to Terminal Manager for review
Oversee office staff functions, including office supply levels, equipment maintenance, procedures manuals, forms, and direct cross training of staff
Understands KPI's and ability to manage based on corporate goals and present to Terminal Manager and company executives
Conduct performance appraisals, reward and discipline associates, resolve grievances, and manage compensation process for office staff
Provide appropriate training, goal setting, and opportunities for growth to direct reports
Compliance with federal and state regulations concerning employment and maintain OSHA Logs
Maximize office productivity through proficient use of appropriate software applications
Establish uniform correspondence procedures and style practices
Create and maintain filing system for warehouse records, such as scheduling information, consignee records, shipping/receiving records and customer files
Prepare and review HR/payroll records (attendance, timesheet and paid leave forms) for office staff, ensuring completeness, accuracy, and timeliness
Maintain contact with customers, ensuring high level of customer satisfaction
Complete other duties as requested and ability to work some extended hours to include nights and weekends, as needed

Requirements:
Minimum 3 years of related experience
Claims processing experience preferred
Strong leadership skills, as well as being a 'team player' and flexible
Strong customer service skills with focus on performance recognition
Strong coaching and people management skills including effective management of performance issues
Ability to establish credibility and be decisive, but able to recognize and support the customer's preferences and priorities
Proficiency in planning written and verbal communications
Strong technical skills (i.e., Microsoft Word, PowerPoint, Excel 2007, web based applications, etc.)
Excellent interpersonal skills both written and oral
Ability to work independently and prioritize multiple objectives in a fast-paced environment while delivering quality outcomes
Systems implementation and conversion experience is a plus
Experience working in a transportation office environment a plus
Make decisions and or final recommendations which affect multiple departments
Intermodal transportation exposure is a plus
Skills:
Ideal candidate will possess a "can do" attitude with a "will do" work ethic
Must have the ability to work in a fast paced environment
Strong verbal and written communication skills
Experience with AS400 operating systems is a plus
Transportation industry knowledge and experience is a plus
