Job Summary
AIS is seeking a professional, energetic, and highly organized Receptionist / Strategic Resource Support team member to join our corporate office in Leominster, MA. This role serves as the first point of contact for visitors, employees, and partners, creating a welcoming and professional experience that reflects the AIS brand and culture. In this role, you will manage the corporate front desk, greet visitors, and professionally answer and direct incoming phone calls, ensuring all guests and callers receive a positive and helpful experience.
In addition to managing front desk responsibilities, this position provides administrative and coordination support to the Strategic Resources Team, assisting with scheduling, communications, office coordination, and special projects. The ideal candidate is a strong communicator, detail-oriented, and able to manage multiple priorities while maintaining a positive and professional presence.

Key Responsibilities
Serve as the first point of contact for all visitors, guests, and callers, providing a professional and welcoming experience that reflects the AIS brand and culture.
Manage the corporate front desk, including greeting visitors, answering and directing phone calls (Via Teams Calling), and ensuring a positive first impression for all guests entering the AIS showroom and office.
Coordinate visitor logistics, including guest check-in, badge distribution, and notifying employees of arriving visitors.
Provide administrative and coordination support to the Strategic Resources Team, including scheduling meetings, managing calendars, and assisting with internal communications.
Assist with office operations and administrative tasks, including mail distribution, supply management, and general office coordination.
Maintain professional appearance and organization of reception and common areas to ensure a welcoming and polished environment.
Assist with internal projects and initiatives as needed to support CEO, Sales, Accounting & Marketing.
Ensure confidentiality and professionalism when handling sensitive company or employee information.
Support the overall employee and visitor experience, helping to create a positive and engaging workplace environment.
Qualifications
High school diploma or equivalent required; associate or bachelor's degree preferred
13 years of experience in a reception, administrative, or customer-facing role preferred
Excellent verbal and written communication skills with a professional and welcoming demeanor
Strong customer service mindset with the ability to create a positive first impression for visitors and callers
Highly organized with strong attention to detail and time management skills
Ability to manage multiple tasks and priorities in a fast-paced office environment
Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint) and general office technology
Ability to maintain confidentiality and professionalism when handling sensitive information
Strong problem-solving skills and ability to work independently as well as collaboratively with internal teams
Positive attitude, dependable work ethic, and willingness to support a variety of administrative and team initiatives
Proficiency in Microsoft Office
