Senior Administrative Assistant
The Senior Administrative Assistant provides high level administrative and operational support to The Chief of Staff and Director of Advancement as well as the Advancement team, ensuring seamless coordination of priorities, communications, and deliverables. This role serves as a central partner in planning and executing Advancement events, managing logistics, timelines, vendor coordination, and on site support to deliver a professional and mission aligned experience for donors, partners, and internal stakeholders. The Senior Administrative Assistant anticipates needs, exercises sound judgment, and maintains discretion while balancing multiple leaders, projects, and deadlines in a fast paced environment. Through strong organizational skills and a collaborative approach, this position strengthens Advancement team effectiveness and supports the successful execution of strategic initiatives and events.
MAJOR RESPONSIBILITIES
The Senior Administrative Assistant provides advanced administrative and operational support to assigned executives and their areas of responsibility, with a strong focus on supporting initiatives and events.
Manages schedules using electronic calendar system.
Arranges various meetings and workshops including internal and external participants.
Coordinates travel arrangements and prepares itineraries.
Compiles data and assists in preparation of ongoing, periodic, or special reports/presentations.
Coordinates ongoing, periodic, or special projects as applicable to specific executive/leadership team/business unit.
Provides administrative support to meetings and committees as assigned.
Participates in team concept providing cross-coverage in department.
Advance skills in Excel and Powerpoint
GENERAL DUTIES
Organizes and maintains file system.
Places and screens phone calls.
Opens and sorts mail.
Performs incidental word processing/typing, photocopying and faxing.
Deals appropriately with confidential situations and materials.
Participates in meetings and work groups as needed.
Creates a professional demeanor with internal and external customers ensuring that the service standards of BCW are maintained at all times.
Performs other duties as required or assigned which are reasonably within the scope of the duties in this job classification
Understands and performs in accordance with all applicable regulatory and compliance requirements
Complies with all standard operating policies and procedures
Qualifications
Education
High School Diploma or equivalent required
Advanced education in business or administrative training preferred
Experience
3-5 years experience in a progressively responsible administrative support role, preferably working with senior management required
Familiarity with health care environment preferred
Knowledge, Skills and Abilities
Excellent secretarial and administrative skills with a high level of proficiency in the use of the computer and Microsoft office products required
Exceptional interpersonal and customer service skills with the ability to maintain rapport in a confidential manner within and outside the organization with all levels of management and staff required
Ability to work under minimal supervision required
Ability to independently assess and problem-solve complex situations utilizing sound judgment and critical thinking skills required
Proven organizational and prioritization skills with the ability to multi-task and handle complexity required
Excellent verbal and written communication skills required
