Onboarding Specialist
to help ensure a smooth and positive experience for all new hires.
Position Overview
The Onboarding Specialist is responsible for managing the onboarding process from offer acceptance through the employee’s first day and beyond. This role plays a key part in ensuring new hires are prepared, compliant, and set up for success from day one.
The ideal candidate is highly organized, proactive, and enjoys working in a fast-paced, people-centered environment.
Key Responsibilities
Coordinate and manage new hire onboarding processes
Schedule and facilitate orientations
Collect, verify, and process new hire documentation
Ensure compliance with employment eligibility and company policies
Enter and maintain accurate employee records in the ATS/HR systems
Communicate clearly with candidates, hiring managers, and leadership
Coordinate uniforms, equipment, and first-day logistics
Track onboarding progress and report on completion metrics
Support HR and recruiting teams as needed
Qualifications / Requirements
2+ years of experience in onboarding, HR, recruiting, or administrative support
Experience working with Applicant Tracking Systems (ATS) or HRIS
Strong organizational and time-management skills
Excellent written and verbal communication
High attention to detail and confidentiality
Ability to manage multiple onboarding timelines simultaneously
Reliable, self-motivated, and team-oriented
Preferred Qualifications
Experience in HVAC, plumbing, electrical, or service-based industries
Knowledge of employment compliance and documentation
Experience coordinating orientations or training sessions
