Senior Clerk

The Morse School serves children and families from every Cambridge neighborhood and from over 40 different countries. The Morse School is seeking a clerk to join its caring and innovative community. The clerk will work in the school's main office, reporting directly to the Principal, and is responsible for performing a variety of clerical functions required for the smooth and effective operation of the school campus. Responsibilities include, but are not limited to:
Answers the main office phone, directing calls and requests to appropriate parties, as well as all in-person requests/questions
Assists in the procuring and scheduling of substitute teachers for the building, as needed
Coordinates incoming mail/packages and distributes mail and notices to teachers
Responds to regular school-wide or teacher-specific issues/concerns
Develops and maintains office procedures and routines
Purchases supplies for the main office staff and administrators
Ensures technology (printers, copiers, fax) is up and running and addresses problems as needed
Tracks staff attendance and reconciles internal data with the online payroll system
Maintains a system for tracking purchase orders
Implement and maintain all office and school recordkeeping systems; maintain a comprehensive student database; develop and track records and reports related to incidents, accidents, attendance, and other matters; use both computer and manual filing systems, which allow for efficient collection, retention, and retrieval of information
Assists in the process of registering new students
Coordinates transportation for students and staff
Acts as liaison between the school site and the general public by conveying information concerning rules, regulations, policies, and laws; greets and directs visitors; addresses standard inquiries by letter, phone, email, fax, or personal contact; maintains internal communication system, ensuring instructional, support, and other personnel are kept informed of needed information
Assists both the Principal and the Assistant Principal with ongoing and as-needed tasks and assistance
Performs other duties as assigned
As a Senior Clerk, you will possess many, though perhaps not all, of the following characteristics and qualifications:
High school diploma, college degree preferred.
Experience in an office environment with public contact; school site experience preferred
Knowledge of standard clerical procedures and office operations
Strong command of English grammar, punctuation, spelling, and business document formatting
Proficiency with standard software applications and the ability to learn new systems
Knowledge of basic research methods, budgeting, and accounting principles
Familiarity with office filing systems and records management
Ability to operate standard office equipment
Ability to prepare, edit, and format memos, reports, letters, and other documents
Ability to maintain databases and management information systems
Strong written and verbal communication skills, including proofreading accuracy
Effective time management, organization, and ability to prioritize tasks
Ability to interpret rules and procedures, work independently, maintain confidentiality, and collaborate with diverse stakeholders.
